Job summary
An exciting and challenging opportunity has arisen for an enthusiastic individual to join our Cardiothoracic Outpatient Team at the Northern General Hospital.
The successful candidate will provide high quality administrative service to facilitate all aspects of outpatient appointments within Cardiothoracic Outpatient Team.
They will have excellent interpersonal skills as they will be in contact with patients both in person and over the phone.
They will work closely with our medical secretaries, waiting list coordinators, Nurses and Consultants to offer the best possible service to our patients.
Main duties of the job
To deliver a high-quality service by providing effective and efficient patient focused appointment bookings, a medical records function, clinic preparation and clinic reception for the patients that attend Cardiothoracic Directorate.
The post holder with liaise with patients, other hospital staff and deal with enquiries from outside the hospital to help ensure the delivery of an efficient service to all users. They will be required to have a firm understanding of the need for confidentiality and to consider and maintain this confidentiality at all times.
To assist in the locating, filing and preparation of attendance packs for outpatient clinics.
To undertake reception duties and receive patients in a pleasant, tactful and understanding manner and accurately record all data fields on CONNECT. To be able to work under pressure, coping and adapting to different situations as they arise.

Education and Qualifications Essential
GSCE at Grade C/4 in English and Maths(or equivalent qualifications) or equivalent experience
Desirable
NVQ level II in Business Administration/ Customer Service/IT
Experience Essential
Experience of working within an office environment Experience of working in a public facing role

Relevant experience within the NHS
Further Training Essential
Knowledge of/ experience of using information and/or customer service systems. Working knowledge of Microsoft office packages including Outlook, Excel and Word.

Previous experience Infoflex / 59R Software Previous experience of PAS / Infoflex / SystmOne (area specific software)
Skills and Knowledge Essential
Understanding of Data protection issues and the ability to maintain confidentiality. Excellent communication skills, with ability to deal with staff at all levels. Displays use of initiative with effective organisational skill. Ability to prioritise and work to strict/conflicting deadlines. On-going commitment to personal development.
