Order Placement
• Responsible in order placement of Service Request Orders, Tools and PPE and mis-shipments in a timely manner with 100% accuracy. • Responsible in reviewing CPQ quotes (P3-P5) in Order Review status and submit quotes to progress an order in EBS. • Communicates backordered parts to both internal and external customers and services planners regarding parts that are not available to ship yet. • Responsible in notifying manufacturing plants and planners regarding orders that are scheduled to pull from their location. • Responsible in identifying the cost-effective shipping method for Down Unit and High Priority or Critical orders • Responsible in releasing order deliveries of available items and shipping based on customer requested dates, cost, logistics and inventory allocation as necessary.
Parts Quote
• Generates parts quote using CPQ • Works with planners and communicates lead time appropriately • Communicates with pricing team for parts having pricing issues
Research
• Provides complete and precise part information and communicates obsolete and superseded parts and discusses alternative replacements if any.
Tracking
• Responsible in tracking shipment of processed orders coming from the different warehouses or manufacturing plants until the shipment is fulfilled/delivered. • Responsible in tracking endorsed P1 Orders through the Smartsheet Tracker that may require timely updates and monitoring and accurately utilizing the features to initiate workflow emails for effective communication
Complexity
• Works on routine assignments that require basic problem resolution • Refers to policies and past practices for guidance • Value-adding activities to provide insightful interface, improved relationships and committed partnership with and for the customers. Successful delivery of this KRA is determined from the perspective of the customer in relation to business results.
• Completes workload on time. Monitors if transactions are processed in a timely manner. • Implement error-proofing method to ensure all transactions done are accurately • Adheres to shift schedules and attendance expectations to ensure consistent support to customers and a balanced workload for peers • Coordinates with other teams/support to complete the request of customers. • May monitor team service level and assists in workload distribution • May conduct team/functional/business overview presentations during counterpart visits as required by team lead/supervisor. • May assist colleagues in answering general escalations from customers • May handle specialized queries from customers
Supervision
• Work is closely managed and follows detailed instructions • Seeks regular guidance and advice from supervisor
• Records and submits periodic and/or quarterly transaction records, log sheets and/or trackers. • Plans, executes and manages own workload and projects in cooperation with line leaders. • Plans, executes and manages own workload and assigned tasks in cooperation with line leaders. • Participates in team meetings, huddles and information cascades. Shares best practices, lessons learned, process and product updates during team huddles/meetings • Proper, accurate and effective use of all tracking tools • Proper call in procedure for unscheduled absences. Proper notification for coming in late at work.
Continuous Improvement
• An ongoing effort to improve products, services, or processes, and the integration of these improvements to standard processes and protocols -- can be applied in a micro (Individual improvement) or macro (organization-wide) level.
• Identifies problems areas and sources, offers possible solutions and escalates to line leaders/seniors when necessary. • Completes personal individual development plan and implements agreed training/development activities. • Assists the team lead in identifying team opportunities and challenges. Provide sound recommendations to line leaders and/or stakeholders by translating, enhancing and consolidating information into forms that can be used for decision making of the top management. • Support projects related to quality improvement (such as Think Customer, QMS, etc.)
Team Support and Development
• Individual contribution to further team effectiveness and development towards better efficiency, productivity, support quality and quality of work life.
• Actively participates in team activities and initiatives. • Fulfill other reasonable duties and projects as required. • Serves as back-up for next level similar or related function for business continuity. • Coordinates and networks with other members of the team to complete assigned projects and programs. • Participates in cross-business unit committees as a contributor.
QUALIFICATIONS
• Bachelor’s degree in business, purchasing, sales, supply chain or logistics, or related discipline • Strong knowledge of the support (quotation and order entry fulfilment) • Knowledgeable of MS Outlook and MS Office applications • Knowledge in various software applications such as: SharePoint, Oracle, Smartsheet • Excellent oral and written communication skills • Excellent organization and prioritization skills are necessary • Demonstrated ability to meet deadlines • Detail-oriented • A team player, with a positive attitude • Excellent time management and problem-solving skills • Fluency in written and spoken American English is required • Knowledge of US geography and transportation systems
