We are an established multidisciplinary physiotherapy and rehabilitation clinic in Hamilton dedicated to delivering exceptional patient care. We are seeking a reliable, warm, and detail-oriented *Medical Receptionist / Front Desk Administrator* to join our team for *20 to 25 hours per week*.

*Key Responsibilities*
* *Patient Intake & Reception:* Greet patients warmly, manage daily check-ins/check-outs, schedule appointments, and maintain smooth clinic flow. * *Billing & Insurance:* Submit direct billing claims through *TELUS Health eClaims, HCAI (MVA / Auto Insurance), and WSIB*, as well as process private extended health insurance claims and patient copayments. * *Inquiries & Communication:* Handle incoming phone calls, emails, and patient inquiries promptly and professionally. * *Patient Charting & Records:* Manage electronic medical records (EMR), intake forms, and ensure all patient documentation is accurate and confidential. * *Administrative & Clinic Support:* Assist with general office coordination, room turnaround, tracking clinical supplies, and basic administrative follow-ups. * *Community Outreach:* Assist with basic social media updates and patient reactivation communication.
*Qualifications & Requirements*
* *Experience:* Minimum 1 year of front desk/reception experience in a *physiotherapy, multidisciplinary rehab, medical, chiropractic, or dental clinic*. * *Billing Expertise:* Hands-on experience with *TELUS Health, HCAI (MVA), and WSIB* billing portals. * *Communication:* Strong verbal and written *English communication skills* with an empathetic, customer-focused approach. * *Tech-Savvy:* Proficiency with clinic management / EMR software, MS Office / Google Workspace, and multi-line phone systems. * *Reliability:* Strong multitasking ability, high attention to detail, and a dependable work ethic.
*Preferred Assets (Big Pluses!)*
* *Language:* *Fluency in Polish (spoken/written)* is a strong asset to help serve our local community and connect with our existing patient base. * *Marketing:* Experience with basic clinic social media posting (Instagram/Facebook) and community engagement.
