Patient checkin Welcoming patients, confirming identity, updating demographics, and ensuring they understand what happens next in their visit.
Appointment management Booking, cancelling, and rescheduling appointments; triaging requests according to practice protocols; managing urgentontheday slots.
Telephone handling Answering highvolume calls, using clinical system call queues, signposting patients, and recording accurate messages for clinicians.
Signposting and care navigation Directing patients to the most appropriate service (pharmacy, physio, mental health support, NHS 111, community services) based on symptoms and practice pathways.
Repeat prescription processing Handling requests, checking medication review dates, ensuring accuracy, and following practice safety protocols.
Clinical system administration Using EMIS, SystmOne or Vision to update records, add tasks, code information, and manage workflow.
Document management Scanning, coding, and allocating incoming hospital letters, test results, and reports to the correct clinician.
Patient communication Sending texts, letters, and reminders; explaining practice policies; supporting patients with online access.
Online services support Helping patients register for the NHS App, online prescriptions, and online appointment systems.
Confidentiality and safeguarding Maintaining strict confidentiality, recognising safeguarding concerns, and escalating appropriately.
Waiting room management Monitoring patient flow, supporting clinicians with delays, and ensuring a calm, safe environment.
Admin support for clinicians Creating tasks, updating templates, preparing notes, and supporting clinical audits or recalls.
Handling payments Processing fees for private letters, travel vaccinations, insurance forms, and medical reports.
Managing incoming enquiries Responding to queries about referrals, test results, sick notes, and practice procedures.

Qualifications Essential
5 GCSEs Grade C and above , or equivalent including Maths and English
Desirable
Customer Service /Business Administration qualification
Experience Essential
An understanding of work within a GP surgery environment
