Job Title: Engineering Administrator Job DescriptionWe are seeking a highly organized and proactive Engineering Administrator to support the day-to-day operations of a rapidly growing engineering organization. Working closely with the Facility Manager, you will play a key role in ensuring administrative and operational activities run smoothly across the team.This position supports a wide range of functions, including schedule coordination, interview logistics, office operations, expense tracking, vendor coordination, and employee support. Success in this role requires strong organizational skills, attention to detail, a sense of urgency, and the ability to work independently in a fast-paced environment.As the engineering organization continues to expand, this role will have a direct impact on helping teams stay organized, productive, and focused on delivering results.Responsibilities
• Support a variety of engineering and facilities administration activities to ensure efficient day-to-day operations. • Coordinate calendars, meetings, and schedules across multiple stakeholders, teams, and priorities. • Assist with interview scheduling, candidate logistics, and visitor coordination. • Manage office-related administrative activities, including catering arrangements, lunch coordination, and general office support. • Track expenses and assist with budget-related administrative processes. • Provide support to employees using internal tools and systems, including basic troubleshooting and access-related assistance. • Coordinate with vendors, contractors, and external visitors as needed. • Help organize team events, engineering activities, and office operations initiatives. • Maintain accurate records and documentation related to administrative activities. • Perform occasional physical tasks, including moving supplies, equipment, or boxes when required. • Provide general administrative support to help maintain an organized and productive engineering environment. Essential Skills
• 2+ years of experience in engineering administration, office administration, operations support, or a related administrative role. • Strong organizational, planning, and time-management skills with the ability to manage multiple priorities. • Comfortable working with technology and independently learning new tools and systems. • Advanced Microsoft Excel skills, including lookups, data mapping, spreadsheet management, and data organization. • Ability to troubleshoot software tools and navigate technical systems with minimal guidance. • Strong attention to detail and follow-through. • Excellent communication and coordination skills. • Demonstrated sense of ownership, accountability, and urgency when supporting business operations. Additional Skills & Qualifications
• Bachelor's degree in Business Administration, Engineering, or a related field is considered a strong asset. Work EnvironmentThis position is based onsite at an engineering center in Ottawa and requires regular interaction with engineering teams, facilities personnel, vendors, visitors, and internal stakeholders. The role operates within a collaborative and fast-paced environment that supports embedded software and engineering development activities.The successful candidate will work closely with technical and operational teams, helping coordinate activities, support office operations, and contribute to the overall effectiveness of the organization. The role also includes occasional hands-on responsibilities such as moving supplies or equipment and supporting office logistics as needed. Job Type & LocationThis is a Contract to Hire position based out of Kanata, ON. Pay and BenefitsThe pay range for this position is $25.00 - $35.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
