Responsibilities Perform general office administrative duties Collaborate closely with various internal departments, pursue timely and effective communication Manage inventory level, track movement, coordinate delivery schedules and submit monthly reports on usage and inventory levels Handle procurement of ad-hoc office appliances, equipment & sundries Liaise with service providers/suppliers to obtain quotations, conduct cost and service standard analysis, provide recommendations, and manage vendor performance and service reporting Support/backup general reception duties including greet guests, handle incoming calls and courier service when needed Coordinate and execute company events and meetings independently, including mover arrangement, venue set up and secondee coordination Monitor and escort for office cleaning / maintenance work (occasionally work during non-office hours) Assist in Group Administration projects (e.g., Office relocation and restacking) Assist in implementing of Group Administration procedures to ensure the efficiency of company operations (i.e., process, reporting, and functional standard consistency) Facilitate the alignment of practices and policies across Mainland Chinese offices in accordance with the company-wide policies Assist various ESG initiatives from generate reports and prepare posters / PowerPoint slides Support Intranet update includes but not limited to prepare draft and update in timely manner Perform ad hoc duties assigned by the management team Requirements Diploma holder or above 5-7 years or above relevant working experience in sizable company Experience in event supporting, venue set up, Intranet platform development and outsourcing vendor management will be a definite advantage Able to anticipate unexpected guest needs and react promptly and tactfully Able to adapt changing needs, able to work in a fast-paced environment and meet tight deadlines Good customer service, communications, and interpersonal skills with pleasant personality Good planning skill, well-organized with strong numerical sense and business acumen Embracing our values of integrity, sustainability, excellence and openness Good command of written and spoken English and Chinese (including Mandarin) MS Office and Chinese Word Processing Willing to work in flexi working hours occasionally to support company events / monitor vendors’ service Work location: Mongkok / Central We are an equal opportunity employer and are committed to fostering a diverse workforce and an inclusive workplace where employees are treated with respect.
