About this role

Job summary

This is a partnership role with OPDP, supporting the TLN administration and the individual will be vetted by HMPPS to access probation data systems. There will be travel to our central office in Cardiff to work with our OPDP project support managers and administration.

This includes; providing administrative support to the operational manager, business support manager, arranging meetings, coordinating information, preparation of agendas, minute taking, data entry, generation of daily work list for administration staff, regular routine audits and responsible for operating a buddy line for advisor staff.

The post holder is required to communicate and liaise with staff and members of partner organisations, produce work to deadlines whilst ensuring compliance with Health Board policies. This is a key supporting role in the effective running of the team, which includes the management of resources as part of the core duties. The duties and responsibilities listed below are not intended to be exhaustive, but are set out to indicate the main areas of activity currently expected. The post holder will, therefore, be expected to adopt a flexible approach when the needs of the service require.

Maintain staff and Service User information and records to a high standard supporting the Lead Transitional/Liaison MH Practitioner in all personnel issues.

Main duties of the job

Produce work to deadlines whilst ensuring compliance with health board policies Provide support to staff within the team/office Provision of records and extracts (manual and electronic) for completion of audits. Provide a diary management service with the ability to resolve conflicting diary appointments and schedules. Make judgements involving straightforward job-related facts or situations, such as choosing and booking appropriate venues/rooms based on requirements and in line with agreed policies and procedures, resolving conflicting diary appointments and schedules.

Qualifications & Knowledge Essential

Educated to Vocational Level 3 in a relevant subject or able to demonstrate the equivalent level of knowledge, skills and experience Good knowledge of MS Office Suite Awareness of policies and procedures relating to dealing with confidential data, both personal and organisational Thorough understanding of office procedures

Experiance Essential

Demonstrate experience in an administrative role requiring the accurate identification and extraction of records Experience of communicating with all levels of professional staff and the public Experience of dealing with confidentiality, sensitive data, appropriate maintenance and storage of records Experience of transcribing and minute taking Working experience of Microsoft Office Suite
