Job summary
This is an exciting time to join the team, with the Trust planning a major refresh of its strategy and ambition this year which will require significant engagement and event support. Reporting to the Communications Manager (Engagement & Events), the post holder will play a key role in the delivery of a wide range of engagement activities with external and internal stakeholders, aligned to the Trust's strategic priorities.
This is a varied and busy role which combines event/project management, communications and administrative duties. The post holder will have experience in planning and delivering successful events and creating compelling content to support engagement with a wide range of stakeholders, including the Trust's membership
They will also have the ability to build rapport and collaborate confidently with people at all levels - from frontline clinical staff to executive board members and have excellent IT skills, including proficiency in Microsoft 365 (Word, Excel, PowerPoint, MS Teams) alongside design programs like Canva.
Main duties of the job
Key responsibilities
Support the planning and delivery of an annual programme of strategic events and visits to raise the Trust's profile and support stakeholder engagement.
Plan, manage and deliver the annual Staff Awards event and nomination process working closely with the wider Communications & Engagement team.
Plan, manage and deliver the annual Members Day event in close cooperation with senior colleagues from across the Trust.
Ensure that expenditure for events/stakeholder activities stays within agreed budget
Liaise with third parties to ensure deliverables are met in a timely manner and within budget.
Support with the transport of display equipment and documentation to events, and set up the venue or stands at engagement events
Produce compelling content for a range of channels and audiences within the organisation, including items for regular staff bulletins and newsletters and digital channels such as intranet and website.
Update and maintain the Trust's membership and stakeholder databases and manage any queries in relation to these.
Management and distribution of newsletters, leaflets and various other publications produced by the Trust, including those needed for CQC inspections
Support the Communication and Engagement team's strategic monthly planning grid and support cross-team working and information sharing
Support with raising purchase order requisitions and ensuring prompt payment of invoices in line with Trust policies and procedures
