Job summary
The post holder will provide administrative/reception service support to facilitate the patient pathway. The post holder will work within the Ophthalmology department reception based at Doncaster Royal Infirmary to provide receptionist cover and a booking service, and undertaking a range of general admin tasks as and when required.
The post holder will build and maintain close working relationships across the clinical administrative teams, using Standard Operating Procedures (SOP's) to ensure functions of the role are carried out correctly and within given timescales.
The post holder will ensure accurate data recording using the Patient Administration System (PAS) to book outpatient events in accordance with clinical instruction and national/local waiting time target dates.
The post holder may be expected to work on a rota basis to ensure appropriate service cover at all times; this may include cross site working and within our other reception areas
Main duties of the job
Provide a professional reception role to all patients arriving for outpatient appointments, ensuring demographics are checked and collating any missing data. Providing a professional and courteous service at all time.
Provide an outpatient booking service, using agreed processes to ensure effective use of clinic capacity in accordance with national/local/clinically instructed waiting times
Liaise as appropriate with clinicians and clinical administration teams to ensure correct recording of patient pathways
Allow early opportunity to escalate capacity issues in accordance with SOP
Ensure appropriate administrative actions for activity outcomes in line with clinical instructions and SOPs; this includes accurate recording of Referral to Treatment (RTT) codes and system discharges
Provide a professional, sensitive and courteous service for appointment and pathway enquiries, acting in line with policy and associated SOPs
To schedule appointments in line with clinical instructions and SOPs, liaising with other members of clinical administration teams such as clinical areas and the booking team where appropriate.
Arrange patient transport and interpreters for outpatient appointments where appropriate.
Respond to appointment queries in a timely manner in line with local agreed methods.

Qualifications & Training Essential
Minimum of 3 GCSE's including English and Maths at Grade C or above or equivalent qualification OCR/RSA/NVQ Level II or completion of a Business and Administrative Level II Apprenticeship or demonstrable equivalent qualification and experience in keyboard skills and typing

ECDL or equivalent qualification
Knowledge & Experience Essential
Previous experience working in a clinical / administrative role Demonstrable working knowledge of Microsoft packages including Word Commitment to acquire & apply knowledge of RTT National and local waiting times rules

Previous hospital or NHS experience working in a clerical/administrative role Knowledge of medical terminology
