Job summary

Divisional Administrator - 22 hour post

An administrative role supporting the Dolphin out-patient department with clinic bookings and preparation and providing administrative support to the Division, including the Governance team. The role routinely involves working autonomously and using own judgement/ knowledge to support the smooth running of the service. To play a key role in dealing with enquiries from patients and staff members from both internal andexternal organisations.

Main duties of the job

The postholder will be responsible for the following tasks: -o To support with the management of the out-patient waiting list for new and follow-up appointments,escalating any potential issueso To arrange appointments as appropriate following clinical triageo To monitor and action the Dolphin out-patient mailbox as appropriateo Regular communication with patients with regards to their appointments, ensuring appointment lettersare sent within a timely mannero Actively manage patients who do not attend their appointment and seek further advice with regards torearranging appointmentso To ensure that clinics are appropriately prepared in advance and available for the cliniciano Communicate both verbally and in writing with external organisations o Provide direct support/administrative service for the team, which can involve handling sensitive patient information, alwaysmaintaining confidentialityo Triage calls from parents and other professionals - recording and escalating these calls as appropriateo Scanning of results and clinical correspondenceo To provide clerical support to the Governance & Quality Teamo To support in updating the W&C microsite for both Obstetrics & Gynaecology and Paediatrics & Neonates ensuring all information is available and up to date including patient information leaflets

o5 GCSE including English and Maths or equivalent experience

oAn understanding of Outpatient waiting lists oKnowledge of Evolve, Advantis, patient administration systems or similar oUnderstanding of 18 week pathways

Experience Essential

oPrevious secretarial / office experience oWorking as part of a team oMaintaining confidentiality oProblem solving

oExperiencing of working in a hospital oUse of clinical information systems
