Groby Road Medical Centre is seeking a Medical Receptionist to join our friendly, hard-working and supportive team. We are a well-established single-site practice caring for approximately 11,000 patients, and we pride ourselves on delivering high-quality care in a welcoming environment.
We are looking for a passionate and proactive individual who thrives in the variety and pace of a busy general practice.
Hours of Work Monday to Thursday: 12:30 to 18:30
Friday: 07:30 to 13:30
Main duties of the job
The purpose of this role is to deliver a high-quality reception and administration service that ensures patient satisfaction, supports practice efficiency and aligns with practice policies. You will be the first point of contact for our patients, so a warm manner and calm, professional approach are essential.
Your key responsibilities will include:
Welcoming patients and visitors to the practice in a friendly and professional manner
Managing incoming telephone calls, directing queries appropriately and taking accurate messages
Booking, amending and cancelling patient appointments using the clinical system
Processing repeat prescription requests in line with practice procedures
Maintaining accurate patient records and updating the system as required
Handling patient queries efficiently and sensitively, escalating where appropriate
Supporting the clinical team with administrative tasks as required
Maintaining confidentiality at all times in line with GDPR and practice policies
Contributing positively to team meetings and practice development

To perform a high-quality reception and administration service, ensuring patient satisfaction and maximum contribution to practice efficiency and effectiveness in line with practice policies. Establishing and maintaining positive working relationships with all members of the team and our patients is fundamental to this role.
Key Responsibilities
Reception duties:
Greet and direct patients and visitors in a courteous and professional manner
Answer telephone calls promptly, dealing with queries and routing calls appropriately
Book, amend and cancel appointments as requested by patients and clinicians
Manage the appointment system, including monitoring urgent and emergency slots
Receive and process repeat prescription requests
Administrative duties:
Maintain and update patient records accurately on the clinical system (SystmOne)
Process incoming correspondence, referrals and tasks in a timely manner
File and retrieve patient notes and documentation as required
Assist with the opening and closing procedures of the practice
Support the practice manager and clinical team with ad hoc administrative tasks
Patient experience:
Handle patient complaints and concerns sensitively, escalating to the appropriate member of staff
Promote a positive patient experience at all times
Maintain strict confidentiality in accordance with GDPR and practice information governance policies

Experience Essential
Previous experience in a receptionist or customer-facing administrative role Experience of working with the public, ideally in a healthcare or customer service setting Experience of using computer-based systems and databases
Desirable
Previous experience in a GP practice or primary care setting Experience of using SystmOne clinical system
Qualifications Essential
GCSE English and Maths at grade C/4 or above (or equivalent) Desirable Qualifications NVQ Level 2 or above in Business Administration, Customer Service or a related field IT or computer-related qualification
