We are recruiting a part time Medical Receptionist for 13.5 hours per week to join our team. You will be enthusiastic with excellent customer services skills, providing a warm welcome to patients and visitors as their first point of contact with the practice. You will deliver a high standard of service using your outstanding communication skills, demonstrating empathy and compassion at all times.

Main duties of the job
Managing enquiries from patients, visitors and other healthcare organisations when contacting the surgeryMaintaining and updating patient recordsScheduling of appointmentsSupporting the clinical team with communications to patients and external organisationsProcessing of incoming correspondenceMonitoring of the practice generic emailSupporting the Medicines Manager with the processing of prescriptions

We are small practice in the heart of Shirley serving a population of 5500 patients, providing a variety of healthcare procedures to the local community. Our core practice team consists of 4 GPs, 1 Practice Nurse, 1 Nursing Associate, 2 Phlebotomists and Administration team. In addition, we are part of Southampton West Primary Care Network and host regular clinics held by a Mental Health Practitioner, Social Prescriber, Health & Wellbeing Coach, First Contact Physio and a Clinical Pharmacist.

Job description Job responsibilities
Reception Duties
1.Guarantee efficiency of appointment system for routine and urgent appointments across a range of clinical staff and services; monitoring flow of patients into consulting rooms.
2.Explain practice arrangements and formal requirements to new patients and support them with the registration process.
3.Manage and respond to all enquiries from patients, visitors, and other healthcare organisations.
4. Manage requests for home visits; ensuring requests are recorded in line with practice policy
5.Ensure that requests for prescriptions are processed in line with practice policy
6.Management of patient records ensuring data entry is accurate.
7. Scan and file relevant correspondence into patients electronic records.
Management of Appointment Systems
1.Ensure total familiarity with the practice appointment system including the use of 3rd party systems
2. Management of appointments across the practice and PCN teams
3. Rescheduling appointments as and when required
4. Utilise care navigation skills to ensure patients are booked with the correct clinician and maximising appointment availability
Management of Medical Records
1.Ensure all correspondence, reports, results etc. are filed in the correct record.
2.Completing data entry tasks in a timely fashion to ensure the medical record is up to date.
3. Maintain accuracy when entering information into the medical record.
4. Ensure safeguarding measures are implemented for vulnerable patients in line with practice policy
Operation of Telephone System
1. Receive and make calls as required.
2. Transfer calls and take messages as appropriate.
3. Ensure that all calls are answered in a timely manner.
Other duties
1.Opening and closing the practice when required
2.Ensuring security is maintained at all times throughout the practice in line with local procedures
3.Any other delegated duties considered appropriate to the post
Special requirements of the post
1.An understanding, acceptance and adherence to the need for strict confidentiality.
2.An ability to use own judgement, resourcefulness, initiative and local knowledge to respond to patients enquiries and requests.
3.Excellent communication skills.
4. Awareness of Child Protection and adult safeguarding procedures (training will be provided)
5. Can demonstrate proficient knowledge of IT systems, including use of Microsoft Office packages (Word, Excel & Outlook)
Person Specification
Experience Essential
Experience in a patient/customer centred environment
Desirable
Experience working in NHS or General Practice
Qualifications Essential
Grade A to C in Maths & English at GCSE level or equivalent
