Job summary

We are seeking an enthusiastic, reliable, and proactive individual to join our friendly and high-performing team. As a key member of our reception team, you will play a crucial role in supporting both patients and clinical staff to ensure the smooth running of day-to-day practice operations. This is a busy and varied role requiring excellent communication, multitasking, and administrative skills

The ideal candidate will enjoy working in a patient-facing environment, demonstrate a professional and compassionate approach, and be confident using IT systems. While experience as a Medical Receptionist and knowledge of Emis, Docman, Accurx are desirable, full training will be provided. A commitment to confidentiality and a proven ability to follow processes are essential

Main duties of the job

To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include, but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, the processing of information and assisting patients as required.

To act as the central point of contact for patients, be responsible for the distribution of information, messages and enquiries for the clinical team, liaise with multi-disciplinary team members and external agencies such as secondary care and community service providers.

Working Hours: Monday to Friday, 37 hours per week

Shift Pattern: A mix of early and late shifts, including two late shifts per week

Early Shift: 08:00 16:00

Late Shift: 10:45 18:45

Start Date: As soon as possible

Job description Job responsibilities

Reception & Patient Interaction

Greet patients warmly and professionally, both in person and over the phoneBook, amend, and manage patient appointments via the clinical systemProcess telephone and online appointment and triage requestsSignpost patients to the correct service or clinician using practice protocolsHandle queries from patients, relatives, external organisations, and healthcare professionals with sensitivity and accuracyProvide clear information on how to access medical services, including urgent careEnsure the waiting area remains tidy, welcoming, and safe at all timesFollow practice policies

Administrative Duties

Maintain accurate patient records, including coding and data entry using EMIS Web or equivalent systemsProcess new and temporary patient registrationsScan and file patient-related documentation and correspondenceAssist in managing repeat prescriptions and liaise with local pharmaciesPrepare patient letters, referrals, and follow-up correspondence as directedSupport with insurance requests, Subject Access Requests (SARs), DVLA forms, etc.Monitor and order office supplies, stationeryUndertake occasional local errands, such as purchasing staff or office supplies.

Team & Practice Support

Collaborate closely with GPs, nurses, managers, and the wider practice teamParticipate in reception rotas, including opening/closing procedures and lunchtimeCover for absent team members and assist in general admin tasks as neededSupport the Practice Manager and clinical team with projects such as patient engagement (e.g., Patient Participation Group) and health promotion activitiesAttend team meetings, training sessions, and contribute to audit and quality improvement workAct as a chaperone when required and in line with practice policy

Key Requirements

Excellent communication and interpersonal skillsHighly organised with the ability to prioritise and manage multiple tasksA professional, respectful, and caring approach toward patients and colleaguesStrong IT skills; experience with EMIS Web, Docman, and Accurx is highly desirable (Training Provided)Understanding of confidentiality, GDPR, and patient privacyAbility to work under pressure in a fast-paced environmentCommitted to upholding Equality, Diversity & Inclusion principlesEnsure all required Statutory and Mandatory training relevant to your role is completed as it becomes due

Qualifications Essential

Educated to GCSE level or equivalent

Desirable

GCSE Mathematics and English (C or above) NVQ Level 2 in Health and Social Care AMSPAR Receptionist Qualification
