About this role

Job summary

Working in collaboration with the Theatre clinical leads and Materials Management Services, the post holder will oversee the efficient and timely coordination of Theatre stock and equipment.

This post will play a key role in ensuring the timely ordering of the right goods at the right price, which are then delivered to the right place at the right time. This will be achieved by working together with customers and service users to understand their equipment needs, and by working with the wider buying team to standardise and rationalise products and ensure that best value for money products are purchased.

This role will require close partnership working with the Clinical Leads for both nursing and anaesthesia across the WCH and CIC sites, helping to address stock shortfalls, Orthopaedic loan kit requirements and all other equipment clashes that are identified.

Main duties of the job

The post holder will:

Coordinate the ordering, receipt, tracking, and return of surgical loan kits and specialist equipment in line with theatre schedules Work closely with theatre teams, clinical staff, and schedulers to ensure all required equipment is available for operating lists Liaise with suppliers to arrange timely delivery, resolve discrepancies, and manage returns, credits, and equipment availability Monitor and track the movement and location of equipment, maintaining accurate and up-to-date records Identify and resolve equipment shortages or conflicts, escalating issues that may impact theatre activity or patient care Support stock control processes including ordering, replenishment, stock rotation, and audits Assist Procurement and Materials Management teams in sourcing cost-effective equipment and standardising products

Person Specification

Qualifications Essential

Educated to GCSE English/Maths or equivalent level/or relevant experience

Desirable

ECDL or relevant experience CIPS level 2

Knowledge & Experience Essential

Manual handling / warehouse experience. Office administration Customer service skills / experience of dealing with customers, public and suppliers

Desirable

Experience of working within a Stock Control, Purchase, supply/logistics environment Experience of Purchase Order/stock control systems Knowledge of NCIC departments and experience of working in a multidisciplinary team.

Skills and Aptitudes Essential

Excellent customer service skills. Clear and accurate written and verbal communication at all levels of the organisation. Effective listening skills. Willingness to adapt to the changing needs of the service. Moving and handling skills. Ability to use initiative and escalate any issues for advice where necessary. Knowledge of stock control and stock management systems and procedures

Desirable

Experience of working in NHS / other public sector Ability to deal with conflict and awkward customers
