Job summary

East Community Treatment Team (CTT) Administration Team - Front-facing Administration Assistant for the Civic Centre, Carlisle.

An opportunity has arisen for a full-time (37.5 hours per week) permanent B2 Administration Assistant to join our transforming East Cumbria CTT.

This post is to cover front-facing reception duties at the Civic Centre to provide a range of administrative duties for the clinic site. As this role is primarily to focus on reception within this busy department high level customer service skills both in person and by telephone are crucial to the success of this role. This role offers an opportunity to contribute to the smooth running of adult mental health services across North Cumbria.

It is desirable the candidate has experience of working in a similar environment with previous secretarial experience due to the demands of the role. Otherwise, this post could provide an ideal development opportunity for those wishing to begin their career with the NHS and want to learn further administrative skills. This post will provide training and development opportunities - the service is committed to upskilling our workforce via CNTW Academy.

Full support with be provided by the team of administrators based on site.

Please note there may be occasionswhen you are requested to travel to one of our other North Cumbria bases to provide support and/or cover for absent colleagues.

Main duties of the job

The post holder will be able to evidence:

Experience of front-facing reception duties. Experience of call handling in a busy environment - It is critical that excellent customer service is delivered in person or over the telephone. Good organisational skills. Be able to prioritise a fluctuating workload. Proven experience of working with Microsoft Office packages. Diary management skills to coordinate room bookings. Provides agreed levels of support to the service to maintain cover in the absence of other administrative staff. Desirable: A working knowledge of electronic patient record systems (i.e. RiO) Desirable: The successful applicant must be able to meet the mobility requirements of the role, therefore a current driving licence and access to a car is desirable.

The post holder must be able to demonstrate the ability to deal with possible exposure to highly distressing or highly emotional circumstances and will be expected to participate in all relevant training courses appropriate to the role.

The post holder may also undertake additional duties as directed by the Administration Team Lead.

Person Specification

Education and Qualification Essential

Intermediate (Level 2) Typing/Word processing qualification and/or relevant demonstrable experience e.g. 12 months experience. Good general level of education up to Level 1 standard in English Language and Maths.

Desirable

NVQ Level 2 in Business Administration. NVQ Level 2 in Customer Service. Working towards Level 2 standard in Maths and English.

Skills and Knowledge Essential

Working knowledge of Microsoft applications including Outlook, Word, Excel and Power Point. Able to input data accurately and efficiently. Undertake repetitive tasks whilst maintaining attention to detail. Good communication and interpersonal skills, both verbal and written, face-to-face and non-facing customers. Demonstrates good customer care skills at all times. Good working knowledge of office procedures. Good organisational and planning skills using own initiative.

Desirable

Knowledge of working in an NHS environment.2 Ability to maintain and update patient information database(s).

Experience Essential

Ability to uphold confidentiality at all times. Able to prioritise and plan own workload. Experience of carrying out administrative tasks, e.g., data input, receiving and making telephone calls.

Desirable

Experience of working in an NHS/health care setting. Experience of processing NHS/health care documentation. Experience using stock ordering and/or petty cash systems. Experience of working with paper-based and electronic filing systems.

Disposition Essential

Discrete in handling confidential and sensitive information. Able to work in accordance with Trust values and attitudes. Must be able to demonstrate an understanding of equality and diversity.

Desirable

Awareness of need for confidentiality in accordance with both Data Protection Act and local/national guidelines. Diplomacy.
