Job summary
The NHS Race and Health Observatory is driving change to tackle racial and ethnic inequalities in health and care. Were looking for a Policy Administration Officer to provide vital support to our Policy team. Youll support the team to ensure they operate efficiently and effectively every daycoordinating meetings and events, managing diaries, handling enquiries, and supporting finance and communications.

Main duties of the job
The Policy Administration Officer will play a key role in delivering high-quality administrative and organisational support to the Implementation team within the NHS Race and Health Observatory. This includes supporting day-to-day operations, being the first point of contract for enquiries, coordinating meetings and events, and assisting with communications, finance, and office management tasks.
The post holder will report to the Policy Team working closely with other members of the Observatory, and key external stakeholders.
About us
The NHS Race and Health Observatory (the Observatory) is an independent organisation, set up to explore ethnic inequalities in access to healthcare, experiences of healthcare, health outcomes, and inequalities experienced by Black and minority ethnic members of the health and care workforce. In doing so, it assesses aspirations in these areas as outlined in national healthcare policy, including those set-out in the NHS Long Term Plan. It is a proactive investigator, providing strong recommendations that inform policymaking and facilitate change. It is evidence-driven and solution-focused.
The Observatory is supported by NHS England and is hosted by NHS Confederation. Its board and team are independent, and we dictate our own direction and areas of focus.
The Observatory has three main functions:

As Policy Administration Officer for the NHS Race and Health Observatory you will:
Keep the Policy team moving smoothly by coordinating diaries, meetings, travel, accommodation, and logistical arrangements.Be the first point of contact for external enquiries to the Policy team, providing professional responses and escalating issues when needed.Maintain organised systems, updating electronic files, contact lists, and records to ensure accurate and accessible information.Support delivery and impact by preparing meeting papers, presentations, reports, and assisting with data entry and CRM updates.Play a key role in events and processes, helping plan and promote online and in-person sessions, taking minutes, and supporting finance tasks like raising purchase orders.What we are looking for
You will have experience in providing high quality organisational and administrative support, and excellent attention to detail as well as being able to:
Communicate confidently in writing and verbally, including minute taking and coordinating with diverse stakeholders.Bring strong skills in office systems and tools, from CRM platforms to Microsoft Office, with bonus creativity using Canva or Adobe InDesign.Build effective relationships with colleagues and senior leaders, working proactively both independently and as part of a team.Thrive in fast paced environments, balancing competing priorities with adaptability, initiative, and a solutions focused approach.
Person Specification
Qualifications Essential
Demonstrable experience of providing high-quality organisational and administrative support, with excellent attention to detail and accuracy. Excellent written and verbal communication skills, include minute-taking and stakeholder coordination. Familiarity with office management systems and procedures, including experience using Customer Relationship Management (CRM) systems. Confident user of Microsoft Office applications (Word, Excel, Outlook, PowerPoint, and Explorer) and familiarity with design tools such as Canva, Adobe InDesign, or similar creative software. Ability to build and maintain effective working relationships with internal colleagues and external stakeholders, including senior leaders. Proven ability to work effectively both independently and as part of a team, demonstrating initiative and a proactive approach to tasks. Ability to work adaptively in complex, fast moving environments, balancing competing priorities and deadlines.
