Job summary
Lawton House Surgery is seeking a reliable and flexible Medical Receptionist to join our supportive and friendly team. The Medical Receptionist will be responsible for providing excellent customer service to patients, managing patient appointments, and performing various administrative tasks within our fast paced working environment. We are seeking an enthusiastic, friendly and well-organised person to join our primary health care team.
Main duties of the job
Applicants should have adequate customer service experience and be courteous, highly motivated, proactive and be a good team player. We request that the right person be able to project a professional, positive and friendly image to patients/visitors. There will be set shift patterns, but at times we will ask for flexibility.

The Main Responsibilities, include: (not exhaustive)
Reception duties
Outbound and inbound telephone calls
Greeting and checking in patients at the front desk
Data inputting
Key holder duties opening and closing the surgery
Receiving and processing letters/emails
Contributing to the high standards of the Practice.
Preferable Skills
EMIS Web experience (training can be provided)
Calm, patient focused approach able to remain composed, understanding, and reassuring when supporting patients, even in challenging or busy situations
Strong administrative skills with excellent attention to detail
Excellent communication and interpersonal skills
Proficient in Microsoft Office

JOB DESCRIPTION
Job Title: Medical Receptionist/Administrator
Responsible to: The Patient Services Manager
Place of Work: Lawton House Surgery, Bromley Road, Congleton
MAIN PURPOSE
To ensure the smooth and efficient running of the surgery; assisting the General Practitioners and Practice Manager in providing a service to patients.
To receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effecting way.
To act as the focal point of communication between patients, doctors and other practice staff.
Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
Undertake a variety of administrative duties to assist in the smooth running of the practice, including the provision of clerical support to clinical staff and other members of the practice team
Principal Duties and Responsibilities
Open premises, checking heating and clinical and administration rooms and restore day time telephone and computer services.
Process new and follow-up appointment requests from patients by telephoneand in person.
Receive patients and direct to appropriate surgeries.
Record requests for home visits and contact the duty doctor with late home visit requests.
Process patients change of address.
Process repeat prescription requests in accordance with practice guidelines.
Handling, receipt and efficient filing of prescriptions
Receipt, administration and packaging of pathological specimens with due regardfor safe and correct handling of them.
Have a full understanding of the appointment system.
Act as a central source of information.
Have a clear understanding of telephone systems, daytime and out of hours.
Understand security systems alarms and fire procedures
Taking messages and passing on information.
Provide cover for members of the reception team during periods of sickness andannual leave.
Other Tasks
Processing and distributing incoming and outgoing mail, including confidential and personal mail.
Receiving, recording and distributing incoming faxes.
Processing reports from other organisations including other health service bodies, solicitors, benefits agency and other third parties.
Scanning documents and attaching them to the patients electronic records.
Recording and processing pathology results, including mammograms, cervical cytology and bowel screening.
Maintain supplies of stationery and ensure the appropriate ordering of receptionstationery and supplies.
Providing clerical/administrative assistance to the practice including typing,filing, photocopying
Air and tidy waiting room and consulting rooms after each sessions (including checking public conveniences).
Unlocking and locking of the surgery and general security, including setting the burglar alarm.
Maintain a safe and tidy reception area and provide or organise hands on emergency maintenance and cleaning as required, this could include the clearing up of bodily fluids, appropriate personal protective equipment PPE is provided.
Leave information regarding unsolved or urgent problems with GPs or other staff members.
Leave reception area tidy and ready for incoming colleagues.
Provide chaperone services as required.
Processing incoming and outgoing GP medical records manually and electronically.
Receiving and processing payment from patients (cash and cheques), including issuing of receipts.
Monitor notice boards and leaflets and ensure they are kept up to date and tidywith relevant patient information.
Liaise with other members of the primary health care team, outside agencies,practice volunteers and members of the patient participation group as required.
Support immunisation schedules and health promotion activities.
Have a working knowledge of all software and hardware
Understand security systems/procedures.
Undertake fire warden duties.
Participate in audit where appropriate.
Repair and Maintenance of medical records.
Posting of mail.
Use of e-mail.
Inclusion on the rota for housekeeping i.e.: drinks, washing up.
To undertake any other duties within the overall purpose and scope of the job as may be required from time to time by the partnership.

The practice will require either a Standard or Enhanced Disclosure through the Criminal Records Bureau (CRB) for this post to ensure suitability for employment.
