Streatfield Health Centre is seeking a part time Assistant Practice Manager to work two-three days per week to support the Practice Manager in all aspects of operational management, ensuring the smooth and efficient running of the Practice.
The Assistant Practice Manager will take responsibility, with guidance from the Practice Manager, for the day-to-day operations of the Practice. This role is central to maintaining a well-organised, responsive, and supportive environment, ensuring the wellbeing of patients, doctors, and staff.
We are looking for an individual with a positive, bubbly personality who can bring energy and enthusiasm to the role. The ideal candidate will demonstrate strong leadership skills, excellent communication, and a natural ability to build positive relationships. Main duties of the job General Responsibilities
Deputise, alongside the Reception Supervisor, for the Practice Manager in their absence. Undertake delegated tasks as directed by the Practice Manager. Support budget monitoring, purchasing, and ensuring value for money. Keep up to date with regulatory changes and ensure these are implemented where necessary. Oversee stock control and effective resource management. Provide support with data reporting and IT systems where needed. Support the organisation of practice initiatives, including vaccination programmes. Support rota management, staff coordination, and administrative processes as required. Provision of basic system training to new team members/locum GPs Induct all new members of the team, including clinicians Provide pastoral care/support to team members as needed. Manage unplanned changes to schedules as required eg. in the case of unexpected absence

We happily serve our population of approximately 8000 patients.We are looking for an enthusiastic, versatile and dynamic team player person who is multi skilled with a passion for patient care. We are an established training practice with 2 GP partners, 7 salaried doctors, 2 Pharmacist's 2 Practice Nurse's and 2 healthcare assistants. We have very high QOF and target achievements.
Job description Job responsibilities General Responsibilities
Deputise, alongside the Reception Supervisor, for the Practice Manager in their absence. Undertake delegated tasks as directed by the Practice Manager. Provide administrative support in maintaining compliance and risk registers. Attend and, where required, chair meetings. Keep up to date with regulatory changes and ensure these are implemented where necessary. Information Management & Technology
Act as the first point of contact for IT issues within the Practice, liaising with system suppliers and the Practice Manager to resolve problems. Organise, oversee, and evaluate IT training for staff. Support the implementation of new technologies, including AI tools. Assist in the development and maintenance of the Practice website. Ensure effective IT data security measures are in place in collaboration with the Practice Manager. Arrange and manage annual calibration and PAT testing.
Human Resources Work in line with Practice policies, procedures, and current employment law. Support the Practice Manager in maintaining staff records in accordance with CQC requirements. Manage staff absence in the absence of the Practice Manager. Assist in reviewing and updating Job Descriptions and Person Specifications.
Patient Services Maintain registration policies and monitor patient turnover and capitation alongside the Reception Manager and Practice Manager. Lead and support the Practice Patient Participation Group (PPG). Manage seasonal campaigns (e.g. flu and COVID programmes). Support recall systems in line with contractual requirements. Assist in overseeing appointment systems, undertaking audits, and implementing improvements. Work with the Reception Supervisor to manage DNAs (Did Not Attends), escalating repeat cases where appropriate. Support the achievement of QOF targets. Submit reports and data as required by NHS England, the ICB, and other relevant bodies. Assist with the logging, investigation, and response to patient complaints and feedback. Compliance & Quality Improvement
Ensure adherence to CQC regulations and standards. Support submissions including CQRS and QOF. Maintain Health & Safety standards, including risk assessments and mandatory training. Assist in updating clinical templates as required. Provide ongoing administrative support for compliance and risk management systems.
Policies & Protocols Support the Practice Manager in reviewing and updating policies and procedures in line with CQC requirements. Carry out monthly vaccine audits and cross-check emergency drugs. Assist in maintaining petty cash records Health & Safety
Carry out risk assessments as required. Ensure fire safety compliance, including regular alarm checks and fire drills. Maintain up-to-date Health & Safety plans and COSHH risk assessments. Organise PAT testing and ensure compliance with safety standards. Building & Facilities Oversee building maintenance, repairs, and room risk assessments. Ensure fire safety systems and emergency lighting are regularly maintained. Coordinate routine servicing and planned maintenance. Conduct cleaning audits to ensure standards are met. Miscellaneous

Person Specification
Experience Essential
Applicants must have experience working in an administrative or supervisory role, ideally within a healthcare or similar environment. They should have experience supporting the day-to-day running of a service, including managing workload, prioritising tasks, and meeting deadlines. Experience in handling financial processes such as invoicing, claims, or monitoring income and expenditure is essential. Candidates must also have experience using IT systems and databases, along with experience working collaboratively within a team and communicating effectively with a range of stakeholders.
Desirable
It is desirable for applicants to have experience working within UK primary care or General Practice, including familiarity with systems such as EMIS or CQRS. Experience supporting QOF, clinical audits, or service development initiatives would be advantageous. Previous experience with rota management, staff supervision, or HR processes is also beneficial. Candidates with experience liaising with external organisations such as ICBs or working within a Primary Care Network would be well suited to the role.
Qualifications Essential
Applicants should have experience working in an administrative or supervisory role within a healthcare or similar setting, with a good understanding of practice operations. Strong organisational and time management skills are essential, along with the ability to prioritise workload and work to deadlines in a busy environment. Candidates must demonstrate excellent communication and interpersonal skills and be able to work effectively both independently and as part of a team. Experience supporting financial processes such as invoicing, claims, or budget monitoring is required, along with good IT skills and confidence using clinical systems or databases. Applicants should have an understanding of confidentiality, data protection, and governance requirements, and a willingness to learn, adapt, and support the ongoing development of practice services.
Desirable
It is desirable for applicants to have previous experience working within UK primary care or General Practice, with knowledge of systems such as EMIS and CQRS. Experience supporting QOF, clinical audits, or service improvement initiatives would be advantageous. Familiarity with rota management, staff supervision, and HR processes is also beneficial. Candidates with experience in financial reconciliation, claims management, or working with ICBs and external agencies would be well suited to the role. A proactive approach, with the ability to identify opportunities for improvement and contribute to the ongoing development of services, is highly desirable.
