Applications are invited from suitably qualified and experienced candidates to join our busy reception administration team within Newcastle Treatment and Recovery (NTaR), in Newcastle City Centre.
NTaR, in partnership with Changing Lives and Humankind, covers all drug and alcohol services within Newcastle and is an ageless service.Our vision is to improve the well-being of everyone we serve, delivering services that match the best in the world, ensuring that we help those most in need in our community to make positive and lasting changes by identifying steps they have to take and then support them to lead a fulfilling life.
The administration team supports clinical colleagues to deliver this service.
The administration team consists of an Admin Team Lead, Medical Secretary, Administration Officers and Administration Assistants.
The full-time role is Monday to Friday and you will work on a rota to provide cover from 8.30 a.m. to 5.00 p.m.
Main duties of the job
The main duties of the role will be:
- meeting and welcoming clients to Plummer Court- receiving client telephone calls and answering queries- liaise with clinical colleagues on telephone calls and queries relating to clients- scanning, filing, printing and uploading to patient information systems
You should have excellent communication, customer service and organisational skills as you will have to interact with a variety of people. Resilience is also required due to the nature of the service.
You should currently hold the required level of qualifications, as outlined in the Essential Criteria of the Personal Specification. If you do not meet this criteria you may not be shortlisted.

Person Specification
Education and Qualification Essential
Intermediate (Level 2) Typing/Word processing qualification and/or relevant demonstrable experience e.g. 12 months experience. Good general level of education up to Level 1 standard in English Language and Maths.
Desirable
NVQ Level 2 in Business Administration. NVQ Level 2 in Customer Service. Working towards Level 2 standard in Maths and English.
Skills and Knowledge Essential
Working knowledge of Microsoft applications, including Outlook, Word, Excel and Power Point Able to input data accurately and efficiently Ability to maintain and update Patient Information Database(s) Good communication and interpersonal skills, both verbal and written Good working knowledge of office procedures ideally in an NHS environment
Experience Essential
Experience of working in an administration role Ability to uphold confidentiality at all times Able to prioritise and plan own workload Experience of working with paper-based and electronic filing systems Calm and resilient and able to maintain professionalism
