About this role

Job summary

We are looking to recruit a confident and dynamic person to greet patients and answer telephones in a professional and courteous manner, direct calls, take messages, and provide a first class service to patients of the Practice at our busy Cotgrave surgery and reception cover at all of the BHG sites. Additional duties will include the undertaking of general administration tasks, pulling and filing of patient notes, handling incoming and outgoing post and accurately inputting data onto our clinical systems to ensure patient records remain current and up to date.

Main duties of the job

The successful applicant will have an outgoing and enthusiastic personality, flexibility to meet the needs of the organisation, be IT literate and have a desire to grow and succeed within the organisational structure. Use of own transport with business use insurance is essential as travelling between sites may be required.

About us

A background in a related administrative role would be useful but is not essential but a desire to learn is a must. Training will be provided to the right candidate. Previous applicants need not apply.

Job Purpose:

To ensure that the Care Navigation Hub & Reception area of the Practice runs smoothly, provides a high level of service to patients, doctors, nurses and other members of the Practice team

Duties and Responsibilities

Care Navigation Hub Duties

1.

Making appointments and assisting with Triage forms

2.

Taking requests for prescriptions from housebound patients

3.

Maintaining Admin inboxes with patient requests and queries

4.

Giving out results

5.

Home visit requests

6.

Deal with general enquiries

7.

Contacting other providers

Reception Duties

8.

Greet and direct patients and visitors

9.

Multisite practice so reception cover need at all 3 sites

10.

Making appointments

11.

Handing out prescriptions

12.

Ensure outstanding queries are explained and handed over to next shift, as necessary

13.

Respond to needs of doctors and nurses during surgery

14.

Deal with general enquiries

Filing

15.

Filing and retrieving paperwork as requested (e.g. Lloyd George envelopes)

Prescriptions

16.

Dealing with requests for repeat prescriptions

17.

Dealing with queries relating to prescriptions

General

18.

Input and extract information from Practice computer system

19.

Observe health and safety guidelines at all times

20.

General housekeeping (e.g. keeping reception and waiting areas tidy)

21.

Any other reasonable duties as necessary

22.

Observe Confidentiality policy and guidelines at all times

23.

Opening up / locking up of practice premises and maintaining security in accordance with practice protocols

24.

Have an overview of admin tasks (eg. cytology admin, recalls)

Person Specification

Qualifications Essential

Good standard of general education

Desirable

GCSE Mathematics C or above GCSE English C or above AMSPAR Receptionist certificate NVQII in Customer Care

Skills Essential

Excellent communication skills (Written and Oral) IT skills Clear, polite telephone manner Time Management and the ability to work to deadlines Problem solving skills Interpersonal skills Driving Licence and access to own transport
