SALARY: £33,179 per annum FTE / Actual Annual Salary £27,883 (based on 38 weeks) + Benefits
LOCATION: Hedge End, Southampton, Hampshire(SO30) – Fully Site Based
JOB TYPE: Full-Time, Permanent
WORKING HOURS: 37 hours per week, 8.00am to 4.00pm Monday to Thursday, 8.00am to 3.30pm Friday, Term-time only (38 weeks)

We have a fantastic new job opportunity for a Personal Assistant to join a modern secondary school, providing high-level administrative and organisational support to senior leadership.
As a Personal Assistant you will deliver confidential executive support, managing diaries, handling correspondence, and coordinating meetings to ensure the smooth running of daily operations. You will also support the wider senior leadership team and assist within the main office when required.
Working as a Personal Assistant you will play a key role in communication, reporting, and school administration, using management information systems and maintaining accurate records in a fast-paced education environment.

DUTIES
Your duties as the Personal Assistant include:
Confidential Support: Provide a high-level, confidential Personal Assistant service to the Headteacher and Senior Leadership TeamDiary Management: Coordinate schedules, meetings, and appointments efficientlyCommunication Handling: Manage email accounts, correspondence, and enquiries promptlyMeeting Coordination: Organise agendas, take minutes, and arrange venues and cateringAdministrative Support: Maintain accurate filing systems and perform general office administrationData & Reporting: Use school MIS systems for reports, data entry, and administrative tasksAdmissions Support: Assist with student admissions, appeals, and related processesEvent Organisation: Support the planning and delivery of school functions and eventsCross-Team Support: Provide cover and assistance across administrative teams when requiredDocumentation Management: Collate and publish key documents including school improvement plans
CANDIDATE REQUIREMENTS
ESSENTIAL
Previous experience in a Personal Assistant, Executive Assistant, or administrative roleStrong organisational skills with excellent diary management and multitasking abilityExcellent verbal and written communication skillsExperience using Microsoft Office (Word, Excel, Outlook) and database systemsAbility to handle confidential information with discretion and professionalismStrong attention to detail and ability to prioritise workload effectivelyExperience working in a busy office or administrative environment DESIRABLE
Experience working within a school or education settingFamiliarity with school management information systems (MIS)Experience supporting senior leadership or executivesKnowledge of admissions processes or education administrationFirst Aid qualification or willingness to obtain
