About this role
Summary
The Coordinator of Facilities Management supports the day-to-day coordination and administration of campus facilities operations to maintain a safe, clean, functional, and welcoming environment for students, faculty, staff, and visitors.
The position coordinates routine maintenance and service requests, supports classroom and office space needs, maintains facilities-related records and inventories, and works with internal departments, vendors, contractors, and external organizations to support campus operations.
The Senior Coordinator of Facilities Management performs the responsibilities above at a higher level of complexity and independence and provides leadership for facilities projects, procurement, vendor and contract management, budget administration, policy and procedure development, strategic space planning, and external stakeholder coordination.
Common Responsibilities – Coordinator & Senior Coordinator
• Campus Facilities Operations: Coordinate day-to-day building, classroom, office, and facility operations to maintain a safe, clean, and functional campus environment.
• Maintenance & Service Delivery: Coordinate and track preventive, corrective, and emergency maintenance, work orders, repair requests, and facility service needs.
• Space, Furniture & Housing Support: Support classroom and office space needs, furniture and asset inventory, routine facility setups, and facilities-related services for faculty housing.
• Cleaning, Fleet & Vendor Coordination: Coordinate cleaning services, University vehicle maintenance, and routine activities with vendors, contractors, and service providers.
• Cross-Departmental & External Coordination: Work with internal departments, event organizers, contractors, vendors, and the IGC Foundation to support campus facility and operational needs.
• Documentation, Purchasing & Safety Support: Maintain facilities-related records, purchasing and financial documentation, inventory records, and support EHS activities and other operational initiatives.
• Other Duties: Perform other related duties as assigned.
Senior Coordinator – Additional Responsibilities
• Facilities Operations Leadership: Lead complex day-to-day facilities operations and provide solutions for facility, space, maintenance, and service issues requiring independent judgment.
• Projects & Facility Modifications: Lead renovation, relocation, space modification, construction, and other special facilities projects from planning through completion.
• Procurement & Vendor Management: Lead competitive bidding, RFPs, vendor selection, contract negotiations, and performance oversight for major facilities services and purchases.
• Budget & Financial Management: Manage designated Facilities operating budgets, monitor expenditures, and support budget planning and financial administration.
• Policy & Operational Planning: Develop and implement Facilities policies, procedures, and operational standards and lead improvements to facilities services.
• Strategic Space & External Relations: Lead long-term space allocation and planning and serve as a primary liaison with the IGC Foundation, government/regulatory agencies, and other external stakeholders.
Required Qualifications
Coordinator
• Bachelor’s degree or an equivalent combination of education and relevant experience.
• 0–2 years of relevant administrative, facilities, or operational support experience, preferably in a university or mid-to-large organizational environment.
• Excellent written and verbal communication skills in both English and Korean.
Senior Coordinator
In addition to the qualifications above:
• Three (3) or more years of progressively responsible facilities management, operations, or facility project management experience, preferably in a university or mid-to-large organizational environment.
• Demonstrated experience in one or more areas such as bidding/procurement, vendor and contract management, construction or renovation projects, budget management, or coordination with external/public organizations.
Required Knowledge, Skills, and Abilities (KSA)
• Facilities & Operational Knowledge: Knowledge of day-to-day facilities operations, preventive and corrective maintenance, space and asset management, vendor coordination, and basic workplace safety practices.
• Communication & Collaboration: Strong written and verbal communication skills in both English and Korean, with the ability to work effectively with faculty, staff, students, vendors, contractors, and external organizations.
• Service Orientation & Problem Solving: Ability to respond promptly to service requests, identify operational issues, prioritize competing needs, and provide practical solutions.
• Organization & Attention to Detail: Strong organizational skills and attention to detail in maintaining facilities records, inventory, procurement documents, vendor information, financial documentation, and other operational records.
• Judgment & Accountability: Demonstrated dependability, integrity, ownership, and ability to exercise sound judgment, follow established procedures, and appropriately escalate or resolve operational issues.
• Technology & Administrative Systems: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), Microsoft Teams, and standard administrative systems used to support facilities operations and recordkeeping.
• Student Success Focus: Ability to support student success by contributing to a safe, welcoming, accessible, and well-functioning campus environment that supports learning and the overall University experience.
Work Environment
• Requires flexible hours, including occasional evening and weekend hours with prior notice (e.g., event support, emergency maintenance, project/construction oversight, or evacuation drills).
• Work may require physical exertion (e.g., standing, walking around campus, visual inspection of building facilities, moving furniture/items).
• Some work may be completed outdoors.
The position is primarily based on campus and requires regular interaction with faculty, staff, students, vendors, contractors, and visitors. The position may require occasional work outside regular business hours to support emergencies, special events, facility projects, or operational needs.
Pay Bands
• Coordinator: KRW 38,000,000 – 43,000,000 per year, based on relevant prior work experience.
• Senior Coordinator: KRW 47,000,000 – 52,000,000 per year, based on relevant prior work experience.
