ABOUT FAMILY PROMISE OF SPOKANE

Family Promise of Spokane exists to end homelessness — one family, one person, one community at a time. Through shelter, housing, and prevention programs, we help families find stability and stay housed. As we grow to serve more families, we are building a strong in-house Finance team, and this role is one of its foundational seats.

WHY THIS ROLE MATTERS

Every payment you process has a face behind it. When rent assistance reaches a landlord on time, a family keeps their home. When vendors are paid accurately, our shelters keep running. When every transaction is coded and documented correctly, we protect the grant funding that makes our work possible. As our AP & Disbursements Specialist, you'll make sure all of that happens — accurately, on time, and with care.

WHAT YOU'LL DO

• Review, code, and enter approved vendor invoices in QuickBooks Online, typically within 5 business days of receipt.

• Prepare a weekly payment run of checks and ACH payments, and process checks for leadership signature.

• Process Direct Assistance payments — rent, deposits, and utilities for families — from approved applications in our MAPS system, typically within 2 business days.

• Match Direct Assistance transactions from approval through payment to the accounting system each week.

• Review and code Ramp card transactions and employee reimbursements, follow up on missing receipts, and sync to QuickBooks Online.

• Set up and maintain vendor records and W-9s, and support year-end 1099 preparation.

• Answer vendor and staff payment questions promptly, and keep records organized and audit-ready.

• Help design and document the processes of a growing finance department, and bring ideas for working smarter.

WHAT YOU BRING

Required

• High school diploma or GED, or an equivalent combination of education and experience.

• 2+ years of accounts payable, disbursements, or full-cycle bookkeeping experience in a high-volume environment.

• Experience with QuickBooks Online or a comparable accounting system, and intermediate Excel or Google Sheets skills.

• Exceptional accuracy, organization, and follow-through on deadlines.

• Discretion with confidential financial and personal information.

• A valid Washington State driver's license and current auto insurance, for occasional travel to off-site meetings and trainings.

Preferred

• Associate degree or coursework in accounting, bookkeeping, or business.

• Experience in a nonprofit, government-funded, or grant-funded organization.

• Experience processing rental assistance or other client-benefit payments.

• Experience with Ramp or similar expense platforms, Bill.com or similar AP tools, or QuickBooks Online certification.

• Experience in an organization that runs on EOS (Entrepreneurial Operating System).

COMPENSATION & BENEFITS

• Pay: $25.00 – $27.00 per hour, depending on experience; overtime eligible.

FPS runs on EOS, the Entrepreneurial Operating System. Every role is a "seat" with clear responsibilities, a weekly Scorecard number, and quarterly priorities called Rocks. CONDITIONS OF EMPLOYMENT

Following a conditional offer of employment, the selected candidate will complete a criminal background check and, with written authorization, a credit and financial history check. The credit check is job-related because this position prepares payments and has access to organizational financial systems. Background checks are renewed annually. Background check results are reviewed individually in accordance with Washington's Fair Chance Act and applicable law.
