Job Title: Custody Operations SpecialistJob DescriptionThe Custody Operations Specialist works on first shift, Monday through Friday from 7:00 a.m. to 3:30 p.m., performing a variety of document custody and filing functions in a large, quiet vault environment. The role focuses on accurately pulling, filing, and quality-checking loan files, verifying their correct placement, and conducting detailed research in both physical shelves and computer systems to locate missing or misplaced files. This position requires strong attention to detail, consistent productivity, and the ability to be on your feet throughout the day while using step stools and carts as needed. Responsibilities • Pull loan files from designated locations in the vault according to established procedures and production targets. • Return loan files to their correct locations, ensuring they are filed accurately by customer and loan number. • Perform quality control checks on filed documents to verify that loan files are stored in the correct locations. • Walk throughout the vault and use step stools as needed to access files stored on different shelf levels. • Search the remainder of a shelf thoroughly when a file appears to be missing, confirming whether it has been misfiled nearby. • Use computer systems and search tools to research missing files, reviewing where the file was last seen and related activity. • Investigate potential locations for misplaced files, including desks, under desks, carts, and other storage areas. • Navigate multiple computer systems, applications, and databases to locate, track, and update information on loan files. • Utilize Microsoft Office, especially Excel, to support document tracking, reporting, and production-related tasks. • Maintain a high level of accuracy and attention to detail in all document custody and filing activities. • Multitask effectively in a production-based environment, managing multiple file requests and research tasks simultaneously. • Lift boxes or files up to 30 pounds and move carts and materials as needed to support vault operations. • Follow established procedures and guidelines to ensure the integrity and security of all loan files in the vault. • Communicate clearly and professionally with team members using verbal, written, and interpersonal communication skills. • Contribute to a consistent production workflow by meeting daily expectations for volume, quality, and timeliness. Essential Skills • Basic Microsoft Office skills, with particular emphasis on using MS Excel. • Experience working in a production-based environment or similar high-volume setting. • Excellent verbal, written, and interpersonal communication skills. • Strong analytical skills with high attention to detail and accuracy. • Ability to navigate multiple computer systems, applications, and search tools to find information. • Ability to multitask and manage several file and research activities at the same time. • Ability to lift up to 30 pounds safely as part of daily vault operations. • Ability to remain on your feet and walk throughout the day in a large vault environment. • Ability to navigate various computer databases to research and locate loan files. Additional Skills & Qualifications • Experience with document custody, vault operations, or large-scale filing environments. • Comfort working in a quiet, warehouse-style office setting with extensive physical files. • Proficiency with Microsoft Office beyond Excel, including other common applications. • Demonstrated ability to maintain production levels while preserving high accuracy. • Strong organizational skills for managing files arranged by customer and loan number. Work EnvironmentThe role is based in a quiet but very large vault that functions as an office warehouse full of physical loan files arranged by customer and loan number. You will be on your feet most of the day, walking through aisles of shelves, using step stools to reach higher levels, and moving carts and boxes of files that may weigh up to 30 pounds. The dress code is business casual, and comfortable footwear is important; tennis shoes are acceptable to support extended periods of walking and standing. Work hours are 7:00 a.m. to 3:30 p.m., Monday through Friday, in a structured production environment that relies on computer systems, databases, and Microsoft Office tools, especially Excel, to manage and research file locations. Job Type & LocationThis is a Contract to Hire position based out of Minneapolis, MN. Pay and BenefitsThe pay range for this position is $18.00 - $18.00/hr.
