About this role

Job summary

An exciting opportunity has arisen for an enthusiastic, motivated and patient-focused individual to join our friendly and dedicated Reception Team at Trinity Medical Centre.

As a Medical Receptionist, you will play a key role in the day-to-day running of our busy GP practice, acting as the first point of contact for patients, carers, healthcare professionals and external agencies. You will provide a professional, welcoming and efficient service, ensuring patients receive a positive experience and are directed to the most appropriate healthcare professional or service.

Working within a fast-paced General Practice environment, the successful candidate will be responsible for a range of reception and administrative duties, requiring excellent communication, organisational and IT skills, together with a compassionate, adaptable and professional approach.

This is a rewarding and varied position that offers the opportunity to make a real difference to patients and their healthcare experience. The role requires someone who can remain calm under pressure, manage competing priorities and work effectively as part of a team.

Hours of Work

31.5 hours per week, worked over 5 days, Monday to Friday.

Main duties of the job

The successful candidate will be organised, proactive and able to work effectively in a busy environment whilst maintaining a high standard of customer service.

Key responsibilities include:

Signposting and navigating patients to the most appropriate healthcare professional or service, both face-to-face and via telephone. Managing appointment requests in accordance with Practice procedures and patient access protocols. Processing repeat prescription requests accurately and efficiently. Scanning, coding and filing clinical correspondence and documentation onto patient records. Providing front-of-house reception services and welcoming patients to the Practice. Responding to patient enquiries both in person and by telephone in a professional and empathetic manner. Recording and processing requests for home visits in accordance with Practice procedures. Processing patient registrations and demographic updates. Handling incoming and outgoing correspondence. Maintaining patient confidentiality and complying with information governance requirements. Supporting the wider Practice team with administrative duties as required. Contributing to the smooth and efficient day-to-day operation of the Practice.

Purpose of the Post

The Receptionist/Admin plays a key role as a member of the medical reception team in providing efficient, helpful and sympathetic care to Practice patients, developing skills in equating Practice protocols with patients demands. Through sensible use of initiative, flexible approach and working to consistent high standards of accuracy, they will provide valuable help and support to the Partners and all colleagues in the Primary Health Care team. You will be expected to manage, plan and prioritise tasks efficiently and effectively to achieve and maintain a high standard of patient care.

Person Specification

Qualifications Essential

Good standard of general education. Standard Grade English or equivalent.

Desirable

Standard Grade Mathematics or equivalent.

Behaviours Essential

Performing well under pressure. Adaptability to change. Team working. Self motivated Flexibility and reliable. Confidentiality. Awareness of potential conflicts of interest.

Knowledge Desirable

An understanding of a General Practice Reception environment. EMIS Web.

Experience Essential

Practical experience of general office work including answering telephones, providing a reception service and dealing with a range of admin tasks at the same time. Experience of using Microsoft Office. Experience of using own initiative. Experience of dealing effectively with the general public.

Desirable

Experience of working within a General Practice Reception environment. Practical experience of computerised recording systems.

Skills Essential

Excellent communication skills (Written and Oral). Must be well organised. IT and Keyboard skills. Ability to work under pressure while maintaining a positive professional attitude. Ability to follow procedures and work to deadlines. Ability to accurately process information. Ability to take accurate messages and follow up where necessary. Ability to work as part of a team.
