Funding This position is locally funded.
Consideration for directly related experience supported by an official service record or experience affidavit. Annualized pay may be pro-rated based on actual start date.
Position Summary The Counselor Secretary under moderate supervision provides routine clerical support for the efficient operation of the school counseling office and campus professional staff. Maintains current and accurate confidential student records. Minimum Requirements
• High school diploma or GED equivalent recognized by the Texas Education Agency or a regional accrediting agency.
• Must have satisfactory outcome of fingerprinting background check.
Preferred Qualifications
• Two (2) years clerical experience.
• Ability to communicate effectively in both English and Spanish.
Knowledge, Skills, and Abilities
• Proficient in Google Drive and Google programs (Docs, Sheets, Forms, and Slides).
• Knowledge of general office procedures.
• Proficient keyboarding and file maintenance skills.
• Ability to follow verbal and written instructions.
• Ability to meet established deadlines.
• Excellent organizational, communication, and interpersonal skills.
• Ability to maintain accurate and auditable records.
• Ability to perform a variety of tasks often changing assignment on short notice with some direction.
Essential Functions/Key Responsibilities
• Provide general clerical support including word processing, data entry, filing, and file maintenance.
• Greeting and prioritizing student's needs in the counseling office.
• Data entry for counselors.
• Coordinate and support the campus mentor program, including scheduling, communication, and documentation.
• Assist school counselors in the planning and facilitation of student assemblies and related events.
• Support students by helping connect them with school supplies and other necessary resources to meet their needs.
• Compile, maintain, and file all reports, records, and other documents as required.
• Receive incoming calls, take reliable messages, and route to appropriate staff.
• Assist counselor(s) with scheduling of meetings and appointments.
• Adhere to all applicable federal and state laws, State Board of Education rules, board policies, and district regulations.
• Follow established campus and district routines to ensure compliance and consistency in operations.
• Daily attendance at work and punctuality are essential functions of the job.
• Maintain confidentiality.
• Performs other duties as assigned.
Working Conditions Tools/Equipment Used: Standard instructional equipment, including personal computer and peripherals. Posture: Prolonged standing; frequent kneeling/squatting, bending/stooping, pushing/pulling, and twisting. Motion: Frequent walking, including frequent keyboarding/use of mouse; occasional reaching. Lifting: Regular light lifting and carrying (less than 15 pounds); may lift and move textbooks and classroom equipment. Environment: Work inside, may work outside; regular exposure to noise. Mental Demands: Maintain emotional control under stress; work prolonged or irregular hours. Supervisory Responsibilities
