Job summary
We are looking for an experienced receptionist to join our very busy medical reception team based on the outskirts of Bradford. The position is part time, 26.25 hours per week, worked Monday to Friday inclusive, working on a rolling rota of mornings and afternoons. The role incorporates dealing with all callers via the telephone, making appointments with the appropriate clinician, the preparation of repeat prescriptions and dealing with Doctors tasks. We use job specific software but full training is given in all aspect of the role.
Main duties of the job
The successful candidate will be expected to take part in all reception activities once trained, we are looking for someone with previous GP surgery experience but this is not essential as we are very happy to give full training to the right candidate.
If you have high volume telephone experience and can stay calm under pressure, are able to prioritise work and still keep your head and sense of humour, we would love to meet you.

Our team of 35 multidisciplinary professionals work very closely together to ensure a harmonious health service to our local patient population of over 10k people.
It is a very busy surgery, covering general health care along with specialist services such as physiotherapy and ultrasound screening.

KEY ROLE - RECEPTION AND ADMINISTRATION DUTIES
Receives and assists patients and visitors, directing to others as appropriate. Handles all general enquiries from patients and others, in person and on the telephone, and takes and records messages for other members of the team. Redirects enquiries to appropriate members of staff as necessary.
Explains practice arrangements to new patients wishing to register and to those seeking temporary cover and ensures all procedures are completed.
Makes, cancels and rearranges appointments in accordance with the practice appointment system.
Receives and records requests for advice calls and home visits.
Actions and records requests for ambulances/hospital transport.
Receives requests for prescriptions and arranges issue and signing of repeat prescriptions in accordance with the practice protocol.
Receives specimens from patients following Health and Safety guidelines, ensures that they are passed to the appropriate clinician.
Acts as a chaperone for patients as required.
Being aware of the practice complaints procedure and directs patients as appropriate.
Prepares outgoing post and arranges posting as necessary.
Ensures accurate recording and handover to other colleagues of information relating to incomplete tasks.
Liaise with practice administration team regarding urgent and private appointments, plus arrange transport and liaise closely with Community Matrons, District Nursing and Social Services
Action practice notes on a daily basis, which may involve the contacting of patients, hospitals or other service providers by telephone, sms, letter or email.
Contact patients due for recall e.g. follow-up for vaccinations, smears etc.
Participation in reception rotas and give cover to the administration team as and when required

Qualifications Essential
Minimum GCSE grade A to C in English and Maths Experience of dealing with the general public
Desirable
Previous GP surgery experience or similar, Previous use of SystmOne or similar, Call centre experience, Current DBS check
