We are looking to recruit a reliable, enthusiastic and highly motivated individual to join our busy Outpatient Services team in providing a professional, efficient and patient-focused reception and clerical service across the Trust.

The Outpatient Reception rota operates across seven days a week. Staff are required to work shifts between 7:00am and 8:00pm, Monday to Sunday, including Bank Holidays. The successful candidate must be able to support the flexibility of the rota and provide leadership across all reception areas to ensure service delivery is maintained.

Computer literacy is essential as the post holder will be expected to utilise a range of Trust Patient Administration Systems, ensuring accurate input, maintenance and extraction of patient information in accordance with Trust policies and procedures.

The successful candidate will be responsible for the day-to-day supervision and line management of the Outpatient Reception Team, ensuring that a high-quality, efficient and responsive service is delivered across the Trust seven days a week.

This is an exciting opportunity for an experienced administrator or team leader looking to develop their management skills within a busy outpatient environment whilst contributing to the delivery of high-quality patient services.

Main duties of the job

As a key member of themanagement team, the post holder will support the Assistant Directorate Manager in the operational management of the Outpatient Reception Service and provide day-to-day leadership and line management to reception staff across multiple outpatient areas. Key responsibilities include, but are not restricted to:

o Day-to-day supervision and line management of the Outpatient Reception Team

o Conducting appraisals, one-to-ones, probation reviews and performance management discussions

o Managing attendance and wellbeing processes, including return-to-work interviews, sickness absence meetings

o Supporting recruitment, induction, training and development of staff

o Assisting with workforce planning and producing staff rotas using HealthRoster to ensure safe staffing levels and service continuity

oMonitoring service performance and supporting the delivery of RTT and cancer pathway targets

oInvestigating and resolving operational and staffing issues, escalating where appropriate

The successful candidate will be flexible to provide cross-cover across the seven-day rota when required. Computer literacy is essential, together with excellent communication, organisational and leadership skills, and the ability to work effectively in a busy environment whilst maintaining high standards of patient care and customer service.
