Main duties of the job

Support engagement and networking activities.Work as part of the team to help with the administration and organisation of the programme, maintaining effective administrative systems, answering queries, and supporting the maintenance of webpage content.Prepare and coordinate high-quality event materials, including agendas, presentations, training resources and joining instructions.Communicate with delegates, clients, speakers and venues, and respond to event enquiries.Provide event logistics support, take notes and minutes, and manage event surveys to gather feedback and support programme reporting.Maintain and update programme and training materials to ensure quality, accuracy and consistency.

Job description Job responsibilities

Act as general contact for programme related queries, offering advice to all healthcare organisations ensuring queries are dealt with in an appropriate and professional manner.Respond directly to straightforward enquiries and provide first draft responses to more complex questions.Manage the programmes social media accounts and work with the team to draft and send quarterly newsletters and ad-hoc email updates.Maintain records of contacts and activities to ensure all details are accurate and up to date in order to effectively report on the programmes impact.Provide the programme team with relevant data for quarterly reports and programme evaluation.Provide assistance in administration of meetings and larger events including taking formal and detailed minutes, agenda preparation, coordinating supporting documentation, arranging appropriate venue and hospitality needs [travel bookings etc].As required, work with the events team to ensure relevant groups are provided with agendas, supporting documentation, minutes and venue details in good time.Set up any administrative systems for the programme which will assist the programme team in providing a high-quality service.Make amendments to web pages by revising or uploading new website content.

Person Specification

Qualifications Essential

1. Experience of providing administrative support to an individual or team. 2. Competent use of MS Office (or similar) Word, Excel, PowerPoint 3. Good verbal and written communication skills 4. Ability to work independently 5. Ability to research, analyse and summarise information 6. Ability to establish effective working relationships with colleagues and external bodies 7. Excellent organisational skills, working to tight timescales. 8. Experience of supporting the administration or coordination of meetings, events or workshops.

Desirable

1. Excellent report writing and problem-solving skills 2. Experience of using and managing social media accounts.
