About this role

Job summary

We are looking for an experienced, reliable, and friendly person to join our pharmacy administration team. You will be supporting the Pharmacy Administration Team Lead and the Pharmacy Education & Training team in the administrative duties required within the pharmacy team.

The post holder will be a key liaison point for the department, so good communication skills are essential. Supported by the Team Lead, you will play a pivotal role in the smooth running of the team and will manage the accurate rostering within the department, as well as supporting the recruitment and on-boarding of staff.

Pharmacy is a friendly and diverse team to work within. The team manages how medicines are used across the Trust and offers a broad range of experiences to any applicant.

This is a full-time post working 37.5 hours per week but flexible working & part-time will be considered.

Main duties of the job

To provide administrative assistance to support the effective and efficient administration of the pharmacy department and support the administrative work of the education and training pharmacy team.

The post holder will provide high-quality, confidential and proactive administrative support to the Pharmacy Leadership Team. This position will support the Pharmacy Administration Team Lead by managing the administration of the pharmacy eRoster and supporting the team lead with the smooth running of operational activities by maintaining accurate records, supporting workforce processes, and assisting with service improvement projects.

This position ensures that senior managers and clinical leads can operate effectively by managing complex schedules, coordinating meetings, and handling confidential information with the highest level of professionalism.

In addition to core administrative duties, the role requires adaptability to respond to changing priorities, problem-solving skills to manage competing demands, and a commitment to upholding the Trust's values and standards. By providing reliable and efficient support, the post holder will enable clinical and managerial teams to focus on delivering high-quality patient care and achieving organisational objectives.

Person Specification

Qualifications Essential

IT skills, RSA Stage 2 level or equivalent. GCSE's C or >4 in English Language and Mathematics or equivalent. NVQ level 3 in Business Administration (or equivalent) or willingness to work towards.

Experience Essential

Experience of using a wide range of IT packages including Microsoft Office and Excel Experience of data entry, analysis, and report production.

Skills Essential

Excellent telephone manner. Excellent level of attention to detail. Literate and numerate
