About this role

Job summary

The Wyre Forest Health Partnership is looking for a creative, proactive and highly organised Executive Support Assistant to join our team. This is a varied and exciting role supporting our Managing Director, Directors, Executive Team and GP Partners, while playing a key role in how we communicate with our people, patients and local community.

We are looking for someone who is digitally confident, full of ideas and able to turn information into clear, engaging communications. You will help coordinate internal and external communications, marketing, social media, patient and PPG engagement, community events and communications campaigns, as well as providing high-quality executive support.

You could be helping to communicate a new service to our Partners, coordinate a staff town hall, promote a great achievement by one of our teams, support a flu or childhood immunisation campaign, or find a new way to reach young parents online. No two days will be the same.

You will need excellent organisational skills, strong written and verbal communication, a high level of digital literacy and the confidence to work with senior leaders, Partners, patients and external stakeholders.

This role is based at Bewdley Medical Centre, with cross-site working required. Part-time and job-share applicants are welcome.We would also consider a funded Level 4 or Level 6 (BA Degree) apprenticeship for the right candidate, with salary and terms of employment appropriate to the apprenticeship level.

Main duties of the job

This is a varied role combining executive support, communications, marketing, PR and engagement. Key duties will include:

Providing proactive executive support to the Managing Director, Directors, Executive Team and GP Partners, including diary management, meeting coordination, agendas, papers, notes and actions.Coordinating internal communications, marketing activity, PR, briefings and updates for employees and Partners.Developing and coordinating communications, marketing and public awareness campaigns, including flu, COVID, blood pressure and childhood immunisation campaigns.Creating clear, engaging and accessible content for patients, employees, Partners and the wider community.Supporting social media, digital communications and PR activity, using innovative approaches and different platforms to reach our audiences.Coordinating PPG, patient and community engagement, including town halls, information sessions and local events.Maintaining a communications, marketing, PR and events calendar and coordinating senior leaders to support planned activity.Promoting WFHP achievements, good news stories and the contribution of our teams, identifying opportunities for positive external coverage.Working with local stakeholders, including Wyre Forest organisations, local government, Public Health and community partners.Identifying opportunities to improve how WFHP communicates, promotes its services and builds its profile, bringing forward new ideas to get important messages across.

Executive support

Provide proactive and confidential administrative and organisational support to the Managing Director, Directors, Executive Team and GP Partners.

Manage and coordinate diaries, appointments and commitments, ensuring key communications, meetings and engagement activity are appropriately planned.

Coordinate meetings, including preparing agendas and papers, taking accurate notes, recording actions and following up agreed actions.

Assist with the preparation and circulation of briefings, presentations, reports and other information for senior leaders and Partners.

Anticipate priorities and identify information or actions required to support the effective management of senior workloads.

Maintain effective electronic and paper filing systems and ensure information is handled appropriately and confidentially.

Communications, Marketing and PR

Coordinate and support WFHP's internal and external communications, marketing and PR activity.

Develop clear, engaging and accessible communications and marketing content for employees, GP Partners, patients, PPGs and external stakeholders.

Support communications relating to organisational changes, new services, initiatives, policies and important operational updates.

Coordinate Partner-facing communications and briefings, ensuring Partners receive timely, consistent and relevant information.

Work with senior leaders to identify key messages and ensure communications, marketing and PR activity is planned and delivered effectively.

Maintain a forward-looking communications, marketing and events calendar and coordinate senior leaders to support planned activity.

Develop and coordinate communications and public awareness campaigns around key priorities, including flu, COVID, blood pressure, childhood immunisations and other public health initiatives.

Identify opportunities to improve communication, engagement and WFHP's external profile, proactively suggesting new approaches.

Digital and social media

Support WFHP's digital and social media communications, marketing and PR activity, creating or coordinating engaging content for different audiences.

Use a strong understanding of digital channels and social media to identify effective ways of reaching different groups, including younger audiences and parents.

Be confident working with online content, video, social media and other digital communication methods.

Bring creativity and new ideas to how WFHP communicates, recognising that different audiences respond to different formats and channels.

Support the promotion of WFHP achievements, staff successes, positive patient stories and good news across appropriate channels, identifying opportunities for wider PR and media coverage.

Patient, employee and community engagement

Support patient-facing communications and engagement activity, ensuring information is accessible, relevant and easy to understand.

Coordinate PPG communications and engagement activity.

Support employee engagement activity, including town halls, briefings, information sessions and face-to-face communications.

Support WFHP's involvement in community engagement events, including local events, carnivals and fetes.

Work with local stakeholders, including Wyre Forest organisations, local government, Public Health and community partners, to support effective engagement.

Gather feedback and information from patients, employees and stakeholders to help inform future communications and engagement activity.

Person Specification

Experience Essential

Experience in an Executive Assistant, Personal Assistant, communications, engagement or senior administrative role. Experience coordinating communications, campaigns, events or digital content for different audiences. Experience working with senior leaders and managing competing priorities Experience of social media, digital content, PPGs or patient engagement.

Desirable

Experience of healthcare, public sector or community communications and engagement. Experience of coordinating Board or senior-level meetings, including agendas, papers and actions.

Qualifications Essential

GCSE English and Maths or equivalent - Excellent written and verbal communication skills, with the ability to adapt messages for different audiences.

Desirable

Relevant qualification in Business Administration, Communications, Marketing or a related subject.

Skills & Attributes Essential

Excellent communication, organisation, prioritisation and attention to detail, with strong digital literacy. Creative, innovative and proactive, with the confidence to suggest new approaches and turn ideas into action. High level of discretion and confidentiality, with the ability to work independently and build effective relationships.

Desirable

Experience using a range of digital and social media platforms to engage different audiences. Experience developing innovative approaches to communication and engagement. Knowledge of local community, health or public sector networks.
