Job summary
The Wyre Forest Health Partnership is looking for a proactive and organised DocMan Team Leader to join our team at Bewdley Medical Centre. This is an opportunity to combine hands-on document management with supervision and leadership of our DocMan team.
Around 70% of your time will be spent processing clinical documentation, including filing letters, coding patient records and updating information, with around 30% focused on supervising and supporting the team. You will help ensure our documentation management service is accurate and timely, supporting safe patient care.
Reporting to the Business Services Manager, you will coordinate workload, rotas and annual leave, monitor activity and help ensure workforce capacity is used effectively. Cross-site working may be required.

Main duties of the job
Supervise and support the DocMan team, providing day-to-day leadership, guidance and organisation.Process clinical documentation, including filing letters into electronic patient records, coding information and updating records accurately.Action requests contained within documentation relating to patient care and notify relevant staff or organisations when required.Maintain a strong understanding of DocMan processes, EMIS, recalls, coding and reporting requirements, including QOF.Monitor team activity, workload and operational demand, proactively redeploying staff where work is required.Organise rotas, scheduling, overtime and annual leave to ensure appropriate workforce capacity.Monitor individual and team KPIs, undertaking audits and providing reports where required.Support employee lifecycle activities for direct reports, including holiday planning, appraisals and sickness absence processes, escalating matters where appropriate.Deliver an effective cross-site documentation management service and support financial and workforce objectives.Promote an outstanding patient experience and ensure privacy, dignity, equality and individual rights are respected at all times.

Job description Job responsibilities
Administrate and supervise the DocMan team, providing day-to-day leadership, guidance and support to Document Management Administrators.This is a supervisory role with an anticipated split of approximately 70% direct DocMan processing and 30% leadership and supervision. The post holder will therefore be expected to undertake hands-on document management alongside their supervisory responsibilities.File clinical letters accurately into patients' electronic records and code patient records following receipt of hospital and other clinical correspondence.Action requests contained within documentation relating to patient care and notify relevant staff and organisations following receipt of information from external organisations.Maintain a strong understanding of patient record systems, DocMan workflows, recalls, coding and reporting requirements, including QOF.Understand the impact of accurate clinical and non-clinical data input and ensure documentation is processed safely, accurately and within agreed timescales.Monitor and review team activity, operational demand and workforce capacity, proactively redeploying employees to where work is required.Ensure individual and team KPIs are achieved and undertake audits and reporting as required.Directly administer the workflow and organisation of the DocMan team, including day-to-day supervision, scheduling, rota management and overtime booking.Complete appropriate employee lifecycle activities for direct reports, including holiday planning and, where delegated, appraisals and sickness absence meetings. Provide information and documentation for matters requiring escalation.Work with the Business Services Manager to deliver documentation management services across sites and support financial objectives, including monitoring direct costs and understanding pay and workforce requirements.Support employee wellbeing and contribute to a positive team culture, including monitoring and responding to staff feedback.Act in accordance with WFHP's purpose, values and principles, including Care, Commitment and Sustainability.Maintain confidentiality and ensure the equality, diversity, rights, privacy and dignity of patients, carers and colleagues are respected at all times.Undertake other duties commensurate with the level of responsibility and purpose of the role.

Educated to GCSE level (or equivalent), including Maths and English.
