Job summary
The Medical HR Team Leader will provide day-to-day leadership and coordination across the Medical HR team, ensuring the delivery of a professional, responsive and customer-focused service to managers, medical staff and key stakeholders. The postholder will support the effective management of medical workforce systems, processes and procedures, including recruitment, rota administration, temporary staffing, medical bank and agency locum arrangements, compliance monitoring and workforce reporting.
Working closely with the Medical HR Manager and wider senior team, the postholder will help translate workforce priorities into operational delivery, ensuring that team members are supported, processes are continually reviewed and high standards are maintained in line with Trust and national requirements. The role will involve providing specialist advice and guidance on medical workforce matters, supporting recruitment campaigns and workforce initiatives, and ensuring accurate data and management information is available to inform decision-making, reporting and service improvement.
The postholder will also supervise and support junior members of the Medical HR team, promoting learning, development and cross-cover across key functions to maintain service resilience. This role is central to ensuring safe, effective and well-coordinated Medical HR support for clinical and operational services across the Trust.

They will ensure systems, processes and procedures are effective, consistently applied and aligned with Trust and national requirements. The role will involve providing advice and guidance on medical workforce matters, including terms and conditions, recruitment processes, rota queries and workforce administration, as well as supporting the resolution of complex queries and maintaining effective communication with internal and external partners. The postholder will supervise, coach and develop junior members of the team, ensuring appropriate training, cross-cover and workload management are in place. They will also support the Medical HR Manager and senior team with workforce data, management information, recruitment initiatives, project work and reporting to support service improvement and wider workforce priorities.

The postholder will take a lead role in coordinating the teams work across a broad range of medical workforce functions, including medical recruitment, rota administration, e-rota systems, temporary staffing, medical bank and agency locum management, compliance monitoring and workforce reporting. They will help ensure that systems, processes and procedures are effective, consistently applied and aligned with Trust policies, national guidance and relevant employment requirements.
Working closely with the Medical HR Manager and wider senior team, the postholder will support the translation of workforce priorities into operational delivery. This will include supporting recruitment campaigns, workforce initiatives, resident doctor rotations, reporting requirements, project work and the production of accurate workforce data and management information to inform decision-making and service improvement.
A key responsibility of the role will be to provide advice, guidance and practical support to managers, medical staff and members of the Medical HR team on medical workforce matters. This will include supporting queries relating to recruitment, terms and conditions, rota processes, workforce administration, temporary staffing and compliance. The postholder will be expected to use their knowledge and experience to help resolve complex queries in a timely and professional manner, escalating issues where appropriate.
The postholder will also supervise, coach and develop junior members of the Medical HR team, ensuring they are supported to deliver their responsibilities effectively and within agreed timescales. This will include supporting training and development, promoting cross-cover across key functions, managing workloads and absence cover, and contributing to a positive and resilient team culture.
The role will require strong organisational, communication and relationship-building skills, with the ability to work effectively with a range of internal and external stakeholders, including operational managers, recruiting managers, payroll and ESR colleagues, medical education, employee relations, NHS bodies, deaneries and other partner organisations.

Ensure workloads are managed effectively and tasks are completed within agreed timescales. Contribute to the continuous review and improvement of Medical HR processes and service delivery.

Educated to degree level or equivalent, or experience in a medical/general HR team as a senior administrator or advisor Evidence of continued professional development

Significant administrative experience in an NHS environment. Experienced in NHS systems including ESR. Working knowledge of Medical & Dental Terms and Conditions of service and employment legislation/law Experience using Excel to present information/reporting.
