About this role

Job summary

We are looking for a motivated and enthusiastic Part Time Team PA to join the admin team at The Chichester Centre, a low secure mental health unit in Chichester.

You will be working as an administrator for the Forensic Healthcare Service where you will use your skills to support highly skilled and dedicated clinical staff from a multitude of backgrounds including doctors, nurses, psychologists, occupational therapists and social workers, to help ensure that we continue to provide excellent patient-focused care.

The post holder will provide administrative support to the clinical team, including the team lead, as well as supervision and leadership of the administration team at The Chichester Centre.

We are looking for an enthusiastic, flexible and self-motivated individual to join our busy team

Main duties of the job

To provide a comprehensive range of secretarial and administrative support to a multi-disciplinary team of practitioners.

To undertake responsibility for the day-to-day management of the administrative, clerical and secretarial functions associated with a multi-disciplinary team. This includes working and acting on own initiative and dealing with potentially complex situations.

To consistently deliver a client focussed service, which promotes a high quality professional service and effective working relationships.

You will be required to work to a very high standard of accuracy, have excellent organisational skills and be able to demonstrate initiative in planning your own workload in a way that supports the clinical team and Admin Team Lead.

The role will involve:

Planning and minute taking for key meetings as well as ad-hoc meetings as needed

Diary management for consultant if required

Supporting the Admin Team Leader with a variety of tasks as needed

Maintaining patient records, key data and group mailbox

Supervision of junior staff

Ordering clinical and stationary equipment using our Oracle ordering system

Covering for other Admin Team staff

Person Specification

Qualifications Essential

NVQ 3 in Business & Administration or evidence of equivalent practical experience RSA 3 or equivalent experience and evidence of further practical experience Good standard of secondary education; GCSE at Grade C or above

Knowledge/Experience Essential

Extensive knowledge of a full range of secretarial procedure Knowledge of software programmes / packages Previous experience in a similar role
