About this role

Job summary

As a Communications Administrator, you will support the delivery of engaging and inclusive communications for our Vaccination Outreach Service. Working across digital and offline channels, you will help create content, schedule campaigns, maintain records, and produce reports that support community engagement, increase vaccination uptake, and reduce health inequalities across underserved populations.

We offer hybrid working, 2 days at Osprey Court, South Bristol, with occasional travel across Bristol, North Somerset and South Gloucestershire (BNSSG)

Main duties of the job

To support the delivery of communications across digital and offline channels, including websites, social media, newsletters, brochures, and posters.

To maintain content calendars and schedule communications to support campaigns, events, and engagement activities.

To draft, edit, proofread, and publish accessible and inclusive content for diverse communities.

To ensure all communications align with organisational branding, editorial guidelines, and accessibility standards.

To provide administrative support for communications campaigns, including coordinating approvals, timelines, and documentation.

To organise events, workshops, and community engagement activities, including logistics, invitations, promotional materials, and follow-up actions.

To compile, maintain, and report on engagement and performance data from digital communication channels.

To maintain accurate databases and mailing lists, ensuring compliance with data protection requirements.

To develop and distribute communications resources, toolkits, and promotional materials for partners and stakeholders.

To act as a first point of contact for routine communications enquiries and support effective collaboration across the Vaccination Outreach Service partnership.

Communications Administrator Vaccination Outreach

Location(s)

The post will be based at Osprey Court in South Bristol but there may be a requirement to work across the Bristol, North Somerset and South Gloucestershire (BNSSG) area.

We have a hybrid working policy which requires staff to work a minimum of 2 days in the office, within general practice or at locations of our system partners.Additional office and / or community based days will be required for at least the first 6 months whilst the service is being established.

Job Purpose

The Communications Administrator will support the delivery of high quality, strategic communications across digital and offline channels for the Vaccination Outreach service.

The postholder will provide vital support across content creation, scheduling, reporting, and administrative tasks that contribute to the successful delivery of inclusive, culturally appropriate campaigns and engagement initiatives across the service. Key responsibilities

Provide Content and Channel Support

Maintain content calendars and scheduling communications across platforms (e.g., website, social media, newsletters).

Draft, edit, and proofread digital and print content, ensuring that format and content is appropriate and inclusive for underserved populations.

Ensure alignment of all communications with brand and editorial guidelines.

Upload and update website content, ensuring accuracy and accessibility.

Coordinate the production of newsletters, social media posts, and offline materials such as brochures and posters in relation to the Service.

Monitor and respond to routine communications queries or redirect as appropriate.

Administration of Campaigns and Projects

Provide administrative support for communications campaigns, including tracking timelines, coordinating approvals, and maintaining documentation.

Organise events and workshops, including planning, logistics, invitations, promotional materials, and post-event follow-up.

Support the development and distribution of toolkits and resources for the service.

Provide Data and Reporting

Compile and format performance data from digital platforms (e.g., Google Analytics, social media insights, email metrics).

Prepare regular reports on engagement metrics and campaign performance.

Maintain databases and mailing lists, ensuring data accuracy and compliance with data protection regulations.

Support key partners for the programme

Assist in the creation and distribution of practical resources for the programme.

Work within a team effectively, sharing work where appropriate, flexing capacity to respond to surge requirements of the service.

Help coordinate and support training sessions and workshops on communications topics.

Act as a first point of contact for routine queries from stakeholders regarding communications support.

Strong writing and editing skills, with the ability to produce clear, accurate, and audience appropriate content across formats.

Familiarity with digital platforms such as websites (e.g., CMS), social media, and email marketing tools (e.g., Mailchimp or equivalent).

Proficiency in Microsoft Office (Word, Excel, PowerPoint) and basic digital tools.

Understanding of brand guidelines and editorial principles, with the ability to apply them consistently.

Strong organisational skills, with the ability to manage multiple tasks, prioritise effectively, and meet deadlines in a fast-paced environment.

Attention to detail and a proactive approach to problem-solving and process improvement.
