Scorecard Employee Experience and Culture Coordinator
The purpose of the Employee Experience and Culture Coordinator is to strengthen the overall workplace culture and improve employee experience through internal initiatives and effective communication, and to optimise the performance of the ES department. Some of the responsibilities include, administration, recruitment of YES and interns, planning and coordinating employee experience and culture initiatives, and assisting with BBBEE.
Mission
HR Administration
• Create purchase orders for ES Suppliers and ensure suppliers are paid timeously.
• Complete the ES credit card reconciliation
• Ensure onboarding and offboarding documentation is sent to salaries for processing.
• Update the stafflist for OHS monthly.
• Send out time off reminders to managers.
• Maintain the YES portal.
Recruitment
• Conduct end-to-end recruitment for YES employees and Interns, including conducting screening, scheduling interviews and providing relevant feedback.
• Conduct reference checks (if necessary)
• Ensure background checks are completed and uploaded to the successful candidate’s BambooHR profile.
• Hire staff on BambooHR and ensure all required documents are uploaded.
• Do equipment request for all newbies.
Employee Experience and Culture
• Coordinate staff meetings, and ensure that slides are done timeously
• Introduce newbies at staff meeting
• Book in design work with marketing.
• Assist with the first day experience of new employees and ensure that welcome packs are prepared and ready before their first day.
• Purchase or write-off gifts for anniversaries, all-star winners, all-star team winners and newbies.
• Order birthday doughnuts and arrange for pick up.
• Facilitate At Your Pace.
• Assist with putting together the Event Calendar for the year.
• Coordinate internal events including obtaining quotes from suppliers, placing orders, preparing the agenda, sending out communications, and ensuring that everything that was ordered is ready for the day.
• Assist with the preparation of the multipliers, all-star, all-star team, birthday and newbies lunch.
BBBEE
• Assisting with collating evidence for the BBBEE audit.
• Maintain the BBBEE file.
• Scheduling staff interviews with the auditors.
Adhoc
• Conduct quarterly store and warehouse visits.
• Assist with adhoc tasks as and when required such as sending out comms, reminders, or requests.
Outcome:
• Suppliers are paid on time.
• New employees will get paid on time.
• Post termination payments are avoided.
• Candidates that fit the company culture are placed in the right positions.
• Culture initiatives are successful and employees are happy.
• The employee experience is smooth.
• The YES portal is maintained and terminated YES employees are replaced timeously.
• BBBEE evidence is accurate, complete, and audit-ready on schedule.
• ES visibility in the stores and the warehouse.

Qualifications & Experience:
• Matric
• Relevant tertiary qualification
• Must have at least 1 to 2 years HR related experience
• Must have some experience with organising and coordinating events.
