Job Title: Customer Service RepresentativeJob DescriptionThe Customer Service Representative plays a key role in delivering exceptional service to customers and vendors by managing a high volume of communications, processing orders accurately, and supporting the entire order fulfillment process. This position requires a detail-oriented, customer-focused professional with strong organizational skills, excellent communication abilities, and a proactive approach to problem-solving in a fast-paced office environment. Responsibilities • Respond to a high volume of customer and vendor emails in a timely, professional, and service-oriented manner. • Process customer orders accurately and efficiently on a daily basis, ensuring all information is complete and correct. • Answer incoming phone calls, provide knowledgeable assistance, and route calls to the appropriate departments when needed. • Review inventory availability to support order fulfillment and clearly communicate product availability and options to customers. • Prepare, provide, and distribute pricing information and quotations to customers and vendors in a clear and organized format. • Track and communicate order status updates to customers, vendors, and internal stakeholders throughout the fulfillment cycle. • Investigate and resolve order discrepancies, shipping issues, backorders, and other customer service concerns promptly and thoroughly. • Handle vendor complaints professionally and collaborate with internal teams to achieve satisfactory and timely resolutions. • Maintain accurate and up-to-date customer records, order information, and documentation within company systems. • Coordinate closely with sales, purchasing, warehouse, and logistics teams to ensure smooth and efficient order processing and fulfillment. • Perform data entry and related administrative tasks with a high level of accuracy and attention to detail. • Support additional customer service and office administration functions as needed to contribute to overall team success. Essential Skills • High school diploma or equivalent. • Minimum of 2 years of customer service experience in an office environment. • Hands-on experience with order processing, order entry, and data entry. • Proficiency in Microsoft Office Suite, including Outlook, Excel, and Word. • Strong written and verbal communication skills, with the ability to communicate clearly and professionally. • Excellent organizational and time management abilities, with the capacity to meet deadlines and follow through on tasks. • Ability to manage multiple priorities effectively in a fast-paced environment. • Strong attention to detail, ensuring accuracy in orders, records, and documentation. • Effective problem-solving and conflict-resolution skills to address customer and vendor issues. • Ability to work independently with minimal supervision as well as collaboratively as part of a team. Additional Skills & Qualifications • Experience working with ERP systems, inventory management software, or order management systems. • Experience supporting customers and vendors in distribution or manufacturing environments. • Associate degree or additional business-related coursework. • Demonstrated customer service excellence in prior roles. • Proven ability in order processing and high-volume data entry. • Experience coordinating inventory to support order fulfillment. • Strong problem-solving and critical-thinking capabilities. • Professional communication style in both written and verbal interactions. • Ability to multi-task and prioritize work effectively under time constraints. • Experience building and maintaining positive vendor relationships. • Advanced proficiency with Microsoft Office Suite, particularly Outlook, Excel, and Word. • Consistent attention to detail in all aspects of work. • Track record of effective team collaboration in office settings. • Background in data entry with a focus on accuracy and speed. Work EnvironmentThis role operates in a professional office environment that is fast-paced and highly collaborative, with frequent interaction between customer service, sales, purchasing, warehouse, and logistics teams. You will primarily work with standard office technologies, including computers, telephones, and business software such as Microsoft Outlook, Excel, Word, ERP systems, and inventory or order management platforms. The position involves managing a high volume of email and phone communications, performing detailed data entry, and coordinating information across multiple departments to support efficient order fulfillment. The work setting emphasizes accuracy, responsiveness, and teamwork, with a professional dress code appropriate for an office-based customer-facing role. Job Type & LocationThis is a Contract to Hire position based out of Ontario, CA. Pay and BenefitsThe pay range for this position is $24.00 - $26.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
