Birchwood Medical Centre has an excellent opportunity for an experienced, conscientious and reliable medical secretary to join our busy secretarial team.
This is a part-time post working 15 hours per week as follows:
Monday: 9.00am - 5.00 pm (1/2 hour lunch)Tuesday: 9.00 am - 5.00 pm (1/2 hour lunch)
Main duties of the job
The successful applicant will be able to demonstrate excellent secretarial, audiotyping, computer, organisational and communication skills, a good knowledge and understanding of medical terminology, the ability to remain calm under pressure, with a flexible approach and an ability to adapt to change. You should be able to demonstrate good attention to detail and a professional manner. Secretarial experience is essential.
About us
Birchwood Medical Centre is a busy GP practice with 11,000 patients. Our administrative team consists of receptionists, administrators, scanning/coding administrators and you will be one of a team of three other medical secretaries. We strive to deliver the best care at all times for our patients whilst providing a friendly, caring environment for both our patients and staff.

The secretarial team is responsible for the provision of efficient and comprehensive secretarial support to the practice. Duties should be undertaken in an organised, accurate and professional manner at all times.
Job Responsibilities
Ensure the smooth running of the secretarial service, prioritising workload as appropriate. Provide an efficient secretarial service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and efficient manner. Answer telephone enquiries in a prompt, efficient and helpful manner. Actively manage and action tasks sent via SystmOne, prioritising where appropriate. Refer patients via the e-referral system and oversee progress of those referrals. To actively monitor the 2 week wait referrals and ensure appointments for patients have been secured and attended. Liaise with hospitals and other outside agencies regarding appointments, missing hospital correspondence and test results. To deal with enquiries from patients professionally and sympathetically. Liaise and arrange meetings as required and to attend meetings and take minutes. Maintain the computer clinical system in an accurate and secure manner. Assist with the gathering of statistics and information when required. Provide cover for members of the secretarial team during periods of sickness and annual leave. Receive and dispatch mail. Provide additional secretarial and administrative support to the practices as required.
