Job Title: Mailroom ClerkJob DescriptionThe Mailroom Clerk plays a key role in ensuring timely, accurate, and secure handling of all incoming and outgoing mail and packages. This position is responsible for sorting, scanning, and distributing mail, metering and preparing outgoing items, and providing general office and administrative support such as stocking copier paper and setting up meeting rooms. The role requires strong attention to detail, adherence to confidentiality and security procedures, and a commitment to efficient service for internal departments and individuals. Responsibilities • Receive, sort, and collate incoming mail and packages promptly, with special attention to time-sensitive documents. • Stamp and deliver all bankruptcy letters on the same day to the litigation team on the designated floor. • Ensure that mail marked as private and confidential remains unopened and is handled according to confidentiality guidelines. • Dispose of junk mail appropriately and maintain a clean and organized mailroom area. • Sort and process various types of mail, including returned letters, adjustments, bills, orders, and payments. • Investigate and resolve issues related to incorrect or returned mail to ensure accurate delivery. • Receive outgoing mail, apply correct postage, and ensure that no personal mail is processed through company systems. • Arrange for pickup of outgoing letters, circulars, and other documents, inserting them into envelopes and preparing them for distribution. • Record and track registered mail to maintain accurate documentation and audit trails. • Open and scan contracts and upload them to the electronic filing system, ensuring that any checks included are promptly turned over to appropriate banking personnel for processing. • Collect regular mail from stations periodically throughout the day, ensuring that all items picked up before noon are stamped and placed in the designated mail bin on the lower level for timely dispatch. • Ensure all mail is opened only within the secure mailroom in accordance with security procedures. • Sort mail into proper piles and bins for distribution to individuals, departments, or mail slots. • Process outgoing shipments using FedEx, UPS, DHL, and USPS, following each carrier’s procedures. • Deliver personal and confidential mail unopened on the same day to the appropriate recipients or mail slots. • Perform hospitality services and minor housekeeping tasks to support a clean and professional office environment. • Ensure the office is adequately stocked with mail-related supplies, including envelopes, labels, and postage materials. • Stock copy rooms and printing devices with paper and other necessary supplies. • Provide support for small office moves, including relocating mailroom or copy room supplies and related materials. • Set up and tear down conference rooms for meetings, ensuring appropriate materials and equipment are in place. • Monitor supplies in both mailroom and copy room areas and advise designated personnel of items and quantities that need to be ordered. Essential Skills • Proven experience in mailroom operations, including receiving, sorting, and distributing mail and packages. • Strong data entry and scanning skills for accurately uploading documents into electronic filing systems. • Clerical skills including filing, record keeping, and basic administrative support. • Ability to meter outgoing mail, apply correct postage, and process shipments via FedEx, UPS, DHL, and USPS. • High attention to detail and accuracy when handling time-sensitive and confidential documents. • Ability to follow strict security and confidentiality procedures, including handling private and confidential mail appropriately. • Customer service skills to support internal departments and individuals in resolving mail-related issues. • Organizational skills to manage multiple mail pickups, deliveries, and office support tasks throughout the day. • Ability to perform light physical tasks such as stocking copy rooms, moving supplies, and setting up conference rooms. • Reliable adherence to scheduled shift hours from Monday to Friday. Additional Skills & Qualifications • Experience in a corporate mailroom or office services environment is highly beneficial. • Familiarity with electronic document management or filing systems. • Comfort working with multiple shipping carriers and their respective systems (FedEx, UPS, DHL, USPS). • Ability to support small office moves and meeting room setups. • Strong communication skills to coordinate with various departments regarding mail and supply needs. • Adaptability to handle both routine tasks and time-sensitive requests in a fast-paced environment. • Contract role experience or comfort working in a strictly contract-based engagement. Work EnvironmentThis position follows a Monday through Friday schedule from 7:30 AM to 4:30 PM, providing consistent daytime hours in a corporate office setting. The role is strictly contract for now, offering a defined engagement period. Work takes place in a secure mailroom and office services environment, including copy rooms and conference rooms, with regular interaction across multiple floors. The position involves frequent movement within the building to pick up and deliver mail, stock supplies, and set up meeting spaces. Outgoing shipments are processed using carriers such as FedEx, UPS, DHL, and USPS, and documents are scanned and uploaded into electronic filing systems. There is no employee parking provided, and interviews for this role are conducted virtually. Job Type & LocationThis is a Contract position based out of Los Angeles, CA. Pay and BenefitsThe pay range for this position is $20.00 - $22.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
