Job summary
We are looking for a friendly, organised and reliable Administrative Assistant to join our team and provide essential administrative support to our reception team and the wider practice.
This is a varied and rewarding role involving front-desk reception, telephone support, patient liaison and general administrative duties. You will be an important part of the practice team, helping to ensure the smooth and efficient running of our busy GP practice while providing a welcoming and professional service to our patients.
The successful candidate will be a confident and approachable communicator who is able to build positive relationships with patients and colleagues. You will be well organised, able to prioritise and manage competing tasks effectively, and comfortable working in a fast-paced environment.
Flexibility is important, as you will be expected to work collaboratively across different areas of the practice and provide support to other teams when required. We are looking for someone who is proactive, adaptable and takes pride in delivering a high standard of service.
This role is based across two practice sites, located approximately one mile apart.
Hours of Work
Monday to Friday Varied working pattern covering the practices core hours between 8.00am - 6.30pm
Main duties of the job
The successful candidate will provide professional front-desk and administrative support within the practice, assisting patients, managing appointments and enquiries, processing registrations and documentation, maintaining accurate records, and ensuring confidentiality. Support both clinical and non-clinical teams to help maintain the smooth and efficient running of the practice.

Key Responsibilities
Provide support to the reception team and wider practice. Welcome and assist patients at the front desk in a professional and friendly manner. Answer incoming telephone calls and deal with enquiries appropriately. Liaise with patients by telephone, in person and through other appropriate communication channels. Book, amend and manage patient appointments. Handle general administrative tasks and ensure work is completed accurately and efficiently. Process patient registrations and related documentation. Scan, upload and accurately file documents and correspondence. Deal with prescription enquiries and direct requests to the appropriate team where necessary. Manage emails and respond to or action enquiries appropriately. Provide administrative support to clinical and non-clinical teams when required. Maintain confidentiality and handle patient information in accordance with practice policies and procedures. Assist with maintaining accurate and up-to-date records. Support the smooth running of the reception and administrative functions. Undertake any other reasonable duties required to support the practice and its teams.

Qualifications Essential
GCSE grade A to C in English and Maths
Desirable
ECDL or equivalent
Experience Essential
Experience dealing with the public, patients, or customers Ability to multi-task and work effectively under pressure Excellent communication skills, both verbal and written

Experience using SystmOne Experience working in primary care, the NHS, or a caring profession
Knowledge and Skills Essential
Good numeracy skills Strong problem-solving abilities
