POSITION SUMMARY

The Talent Management Specialist plays a critical support role throughout the employee lifecycle, including recruitment, onboarding, compliance, learning & development, employee engagement and offboarding. This role ensures a smooth candidate experience from application through hire while maintaining full compliance with all initial and ongoing regulatory and licensing requirements. The ideal candidate thrives in a fast-paced environment, has a strong focus on regulatory compliance, and is passionate about the entire employee experience.

PRIMARY RESPONSIBILITIES

Recruitment Support

• Coordinate job postings across internal systems, job boards, and community partnerships leveraging company applicant tracking system (ATS).

• Conduct initial screenings and schedule interviews between candidates and hiring managers across multiple roles and geographies.

• Communicate with candidates throughout the process, ensuring a high-touch, professional experience.

• Enter and maintain accurate candidate data in the ATS and HRIS.

• Support job fairs, other recruiting events, and community outreach efforts to build pipelines.

Hiring & Onboarding

• Initiate and verify background checks, reference checks, drug screens (if applicable), motor vehicle reports (if applicable) and pre-employment physicals in accordance with state/federal guidelines and company practice.

• Collect and verify licensure and certifications (e.g., CNA, LVN, RN, RCFE), as applicable, and other onboarding documentation.

• Collaborate with department heads to facilitate smooth Day 1 onboarding experiences and orientation planning.

Compliance, Training, Reporting & Employee Engagement

• Ensure all hiring documentation complies with company policy, state licensing requirements, and applicable employment laws.

• Ensure all initial and ongoing training is completed timely in accordance with requirements.

• Stay current on evolving training requirements and contribute to the ongoing development of orientation and training programs.

• Maintain digital and physical personnel files in accordance with privacy and employment standards; perform ongoing record audits.

• Assist in tracking metrics such as time-to-fill, turnover by role, and recruitment source effectiveness.

• Monitor sick, paid and unpaid time off with tracking against company attendance polices.

• Manage employee referral programs.

• Responsible for administering employee benefits and promoting awareness of available benefits.

• Spearhead and manage employee engagement initiatives.

QUALIFICATIONS

• Bachelor’s degree in relevant Org. Development field; MHR or other business-related degree.

• 3 to 5 years experience in recruitment, HR, benefits or healthcare staffing (senior living preferred)

• Familiarity with HRIS and ATS solutions (e.g., BambooHR, Paycom, UKG, iCIMS, etc.)

• Knowledge of licensing and background check requirements

• Strong attention to detail, organizational skills, and ability to multitask in a deadline-driven environment

• Excellent interpersonal and communication skills, both written and verbal

• Proficient in Microsoft Office and Google Workspace
