Wellpointe currently operates the Fresno Guest Homes, Cottages at The Colony, Irvine Cottages, and Granny’s Place residential assisted living brands in Fresno, Los Angeles, and the central & south Orange County areas of California.
POSITION SUMMARY
The Asset Coordinator at Wellpointe Inc. is a pivotal team member within the Asset Operations department. Working under the direction of the Senior Manager – Asset Operations, the Asset Coordinator provides essential logistical, administrative, and site-level support to ensure operational consistency and high standards across multiple properties in Fresno, Los Angeles, and Orange Counties. This role is ideal for a proactive, detail-oriented individual with strong organizational skills who thrives in a dynamic, multi-site environment.
PRIMARY RESPONSIBILITIES
Operations & Facilities Support
• Support daily asset and facility operations across assigned locations by handling work orders, minor facility needs, and coordinating vendor access.
• Maintain site supplies and equipment inventories, ensuring timely replenishment and functionality.
• Conduct routine site walk-throughs and inspections, escalating any concerns to management.
Project & Logistics Coordination
• Assist in logistics for new site launches, renovations, or closures by supporting equipment setup, vendor scheduling, and documentation tracking.
• Participate in pre- and post-project reviews to ensure compliance and completeness.
Maintenance Request Handling
• Receive and track maintenance requests using Monday.com or related software tools.
• Coordinate with internal maintenance technicians and external vendors to ensure timely issue resolution.
• Maintain accurate records of service visits, repairs, and recurring issues.
Vendor & Compliance Documentation
• Help gather and file documentation related to vendor agreements, maintenance records, and compliance logs.
• Assist in organizing files for licensing, inspections, and permitting requirements.
• Support internal and external audit preparation by maintaining up-to-date compliance records.
Administrative Support
• Prepare reports, spreadsheets, and site update summaries for the Senior Manager.
• Communicate operational updates clearly to on-site staff and vendor partners.
• Monitor task progress in Monday.com and Slack, ensuring deadlines are met and task owners are aligned.
QUALIFICATIONS
• 1–3 years of experience in facilities coordination, operations support, or property management.
• Familiarity with maintenance scheduling, vendor coordination, and multi-site support preferred.
• Comfortable using productivity and project tracking platforms such as Monday.com, Microsoft Excel, Outlook, Slack, and Adobe Acrobat.
• Strong communication, time management, and problem-solving abilities.
• Valid driver’s license and ability to travel regionally (Fresno, Los Angeles, Orange Counties).
