St Clare Hospice is a charity that provides specialist palliative care to patients and families in West Essex and the East Hertfordshire borders.
We are seeking an experienced and motivated Accounting Officer to support the financial processes, controls and reporting requirements of the Hospice group companies.
The successful candidate will take assist in payroll processing, income processing for our retail and lottery activities, bank reconciliation and other month end reconciliation work, plus outer ad hoc data collection to support the Finance team.
This role reports directly to the Head of Finance, and will work closely with the rest of finance team, including volunteers, as well as colleagues through-out the hospice. The finance team currently have a flexible working pattern with a combination of office and home working. We are looking for someone with valid experience of working in accounting, charity accounting knowledge would be useful but not essential.
Main duties of the job To manage The end-to-end processing of payroll and pensions while ensuring accurate recording. Importing and reconciling retail income in finance accounting system. Assisting the Lottery Team with pre draw checking, reconciling and subsequent postings to finance software, and together with the Lottery Team prepare the submission of gambling commission returns. Assisting with external audit and compliance with both statutory regulations and internal financial controls.

The Finance Department comprises a small team of paid staff and volunteers, who work to provide Financial Information using a few IT platforms, to enable us to support the frontline services of the organisation. The structure is divided between the Trust (St Clare West Essex Hospice Care Trust) and the trading arm encompassing Sale of Bought-In Goods and Lottery (St Clare Hospice Trading Company Limited). The Trust is a Company limited by guarantee and a registered charity so there is a requirement to understand charity accounting. The Trading Company is a limited company which is VAT registered and a wholly owned subsidiary of the Trust.
Job description Job responsibilities Key Responsibilities: Collaborate with HR and coordinate with payroll bureau to - process monthly payroll, including calculating salaries, overtime, and deductions (tax, NI, pension). - Process new starters, leavers, contract changes, and P45/P60 issuance. - Calculate Statutory Sick Pay (SSP), Statutory Maternity Pay (SMP), and other statutory deductions. Using the weekly Lottery Draw statistics provided by Lottery Team post all entries related to the Lottery into Sage and reconcile the Advanced funds balance sheet account. Reconcile Lottery bank accounts in the Trading Company with account balances in accounting software (Sage). Ensure that all sales data downloaded from EPOS and other online systems, and all sales correctly recorded into the accounting system (Sage) for all shops. Ensure that cash and cheques from shops (including reception shop) and lottery office are correctly recorded and prepared for weekly cash collection service (Loomis). Ensure that petty cash payments are authorised and recorded accurately in Sage and a reconciliation kept in excel format. Collaborate with the Management Accountant to ensure accuracy of retail stock entries onto accounting software and calculate relevant stock movements for reporting in the accounts.
