About this role

Job summary As a valued member of the Education Hub, the Education Administrator will help bring learning opportunities to life, supporting the delivery of a dynamic programme of internal and external education. This includes supporting learning and development opportunities for hospice staff and volunteers, as well as education programmes for healthcare professionals across the region and beyond.

Main duties of the job The role is responsible for coordinating training events, managing delegate bookings, arranging venues and resources, maintaining education records, and capturing feedback to support continuous improvement. By ensuring every learning activity runs smoothly and professionally, the post holder will contribute directly to workforce development within St Clare Hospice and across the wider health and social care system.

Job description Job responsibilities Act as the first point of contact for the Education Hub, providing a professional, responsive and welcoming service to internal and external stakeholders, resolving queries or signposting appropriately. Build and maintain effective working relationships with clinical and non-clinical staff, partner organisations, education providers and external agencies. Coordinate and administer a wide range of internal and external education and training activities, ensuring a seamless experience for staff, volunteers, learners and external delegates. Manage bookings for training sessions, courses, meetings and educational events, including arranging venues, resources, equipment and catering where required. Support the planning, organisation and delivery of conferences, workshops and learning events, ensuring high standards of coordination and customer service. Maintain accurate records of education activity, including course bookings, attendance, evaluation feedback and learner outcomes. Record, analyse and report on training evaluations, supporting continuous improvement of the education programme. Accurately input, manage and maintain education-related data within relevant electronic systems and databases, ensuring compliance with data protection requirements and organisational standards. Support the production of reports, statistics and activity summaries to support monitoring, quality assurance and service development. Ensure education records, processes and documentation meet internal governance requirements and external quality standards. Provide comprehensive administrative support for Education Hub meetings, including preparing agendas, taking minutes and tracking actions. Support the administration and ongoing development of digital learning platforms, virtual training programmes and online education resources. Assist with the induction and training of staff, volunteers and learners in education systems and processes where required. Provide guidance and support to volunteers contributing to education administration activities. Identify opportunities to improve administrative systems, processes and learner experience, contributing to the ongoing development of the Education Hub. Work collaboratively as part of the Education Hub team whilst effectively managing competing priorities and working independently when required.

Person Specification

Qualifications Essential

GCSEs (or equivalent) in English and Mathematics at Grade C/4 or above. NVQ Level 3 in Business Administration, Customer Service or equivalent experience.

Experience Essential

Excellent written and verbal communication skills with the ability to adapt communication style to different audiences. Strong organisational skills with the ability to manage multiple priorities and meet deadlines. Excellent attention to detail and a commitment to maintaining high-quality records and data accuracy. Competent in the use of Microsoft Office applications, including Outlook, Word, Excel, PowerPoint and Teams. Ability to analyse information and produce accurate reports and activity data. Strong customer service skills with a commitment to providing a positive experience for learners, staff and external partners. Ability to work independently, use initiative and solve routine problems effectively. Confidence in coordinating events, meetings and training activities involving multiple stakeholders. Ability to identify opportunities to improve administrative processes and ways of working. Emotionally resilient and able to work within a hospice environment where conversations about serious illness, dying and bereavement may form part of day-to-day work.
