Job Title: CN Administrative Assistant Exemption Status/Test: Non Exempt Reports to: Director of Child Nutrition Date Revised: September 3, 2025 Dept./School: Child Nutrition/Administration
Primary Purpose: To assist the Director of Child Nutrition, while ensuring efficiency and organization of the office in a consistent manner. Help facilitate efficient operations, providing administrative support to the management staff. Qualifications: Education/Certification: High School Diploma or equivalent required Maintain a valid Texas Driver's License Skill/Experience Requirements:
• Display a basic understanding of school nutrition program accounting and reporting
• Make recommendations that may impact the budget and manage the budget within the assigned department
• Proficient keyboarding and file maintenance skills
• Ability to maintain accurate and auditable records
• Basic computer literacy, with proficiency in Google Docs, developing spreadsheets
• Excellent organizational, communication, and interpersonal skills including the ability to anticipate needs
• Can work independently with little direction while seeking feedback from peers regularly
• Ability to establish and maintain positive working relationships with district personnel and parents
Major Responsibilities:
• Prepare, maintain, and file department communications, correspondence, forms, manuals, reports, purchase orders, and payment authorizations following district standards and requirements
• Monitor and process time records. Compile information and submit to central office according to established procedures and deadlines
• Assist parents, students, teachers, Region 10 and TDA as needed
• Compiles and processes data for meal benefits and reimbursement claims
• Schedule and facilitate calendar for director and staff
• Participates in planning and billing of catering activities
• Provide technical assistance to all CN staff
• Assist with department budget preparation and maintain accurate records of expenditures
• Prepare and process purchase orders and receive, store, and issue supplies and equipment
• Maintain inventory of office and equipment supplies
• Works closely with food vendors and suppliers with the delivery of goods process
• Responsible for following procurement policies and procedures to meet all required regulations
• Participates in state, regional and local programs to keep abreast of new developments and regulations in the field of nutrition and school food service programs
• Identifies areas of need and provides appropriate training and in-service staff development opportunities
• Interfaces with cafeteria managers frequently to ensure uniform compliance and understanding of the food service program and the delivery of quality food services
• Understands and utilizes the CN's point of sale, order and inventory software
• Assist with planning, preparation, and setup of meetings and interviews
• Sort, distribute, or deliver mail and other documents
• Assist with planning and preparation of beginning and end of year procedures
• Fill in at kitchens when needed
• Maintain professional decorum and protect confidentiality of all staff, parents, and students
• Perform other duties as assigned

Frequent standing, walking, pushing, and pulling; moderate lifting and carrying; some stooping, bending, and kneeling; limited exposure to extreme hot and cold temperatures.
