Job summary
A proactive HR & Finance Assistant supporting the organisation through efficient delivery of recruitment and onboarding, payroll administration, financial processing and employee record management. Ensures compliance across HR and finance activities while maintaining accurate documentation, smooth workflows and high quality administrative support that strengthens operational effectiveness
Main duties of the job
This role provides essential administrative support across HR, payroll and finance. It manages recruitment tasks and oversees onboarding, ensuring all checks, documentation and induction activities are completed. The post holder maintains accurate employee records, monitors training compliance and sickness absence, supports appraisal processes and manages day to day HR communications.
They coordinate monthly payroll submissions, process required amendments and support maternity, sickness, reimbursement and ARRS claims. Finance responsibilities include processing invoices through Sage, reconciling supplier statements, assisting with monthend routines, recording insurance income and maintaining petty cash.
The role maintains HR and finance systems, produces and updates reports, analyses routine management information and ensures all data handling complies with GDPR, NHS guidance and organisational policies. It requires effective communication with colleagues, NHS organisations and external agencies, participation in relevant meetings and delivery of site tours for new starters.
Working collaboratively within the team, the post holder contributes to governance activities, follows risk management and health and safety procedures, and supports practice development. They engage in ongoing training and appraisal, provide training to colleagues when required, uphold equality and safeguarding standards, and maintain strict confidentiality regarding all patient and staff information.

HR Administration
Support recruitment administration.
Coordinate and oversee the onboarding process for new starters, ensuring all pre-employment checks, documentation and induction requirements are completed within agreed timescales.
Support the onboarding process by conducting comprehensive site tours for new starters, introducing them to colleagues, facilities, safety expectations, and organisational procedures
Maintain employee records.
Monitor training compliance across the organisation, produce compliance reports and escalate areas of concern to managers.
Monitor sickness absence trends, ensure compliance with absence procedures and prepare reports for management review.
Support appraisal administration.
Monitor HR mailbox.
Payroll Support
Coordinate monthly payroll submissions and ensure amendments are submitted within agreed timescales.
Support maternity, sickness and reimbursement claims.
Support ARRS claims
Finance Administration
Process purchase invoices using Sage.
Reconcile supplier statements.
Assist with month-end finance procedures.
Record insurance income received.
Maintain petty cash records and reconciliations.
Reporting & Data Management
Maintain HR and finance systems.
Create and maintain Excel reports.
Produce and analyse routine HR and Finance management information and highlight issues requiring management attention.
Ensure all HR and financial records are maintained in accordance with GDPR, NHS guidance, organisational policies and statutory requirements

Liaise with members of the Practice, other NHS organisations and outside agencies as appropriate to the role.

Training, learning and development
Undergo regular appraisal, supervision, and training as necessary to update skills and knowledge.
Provide training to other staff in work relevant to this post.
Coordinate induction arrangements for new starters and ensure onboarding requirements are completed within agreed timescales

Qualifications Essential
