Under the general supervision of the Senior Manager of the Executive Office, the Senior Coordinator independently coordinates key executive, administrative, operational, financial, and logistical functions of the Executive Office. The position provides high-level support to the Campus Dean and other senior university leadership and coordinates activities involving internal and external stakeholders.
The Senior Coordinator is responsible for managing complex executive-office processes, coordinating high-profile engagements and institutional activities, facilitating communication across departments and with external constituents, and resolving operational matters requiring judgment and discretion. The position regularly handles confidential and sensitive matters and is expected to exercise a high degree of professionalism, independent judgment, discretion, and accountability.
Job Description:
• Serve as one of the primary representatives of the Executive Office, exercising judgment in responding to inquiries, coordinating requests, welcoming university officials and external stakeholders, and determining appropriate routing or escalation of matters.
• Manage shared Executive Office email accounts and other incoming communications, responding to inquiries or routing them to the appropriate departments in a timely and professional manner.
• Facilitate communication between university leadership and internal and external constituents.
• Independently coordinate executive support for the Campus Dean, including preparation and coordination of presentations, remarks, briefing materials, executive correspondence, travel, meetings, and other activities requiring judgment, discretion, and knowledge of institutional priorities.
• Coordinate administrative and executive support for the Associate Dean of Finance and Administration, independently managing assigned meetings, travel, documentation, and related follow-up activities.
• Independently provide the administrative and logistical coordination of high-profile meetings, official visits, campus tours, executive engagements, and special events involving Fairfax leadership, Board members, government officials, partner institutions, donors, and other VIP guests.
• Develop and coordinate visit plans, itineraries, transportation, accommodations, meeting arrangements, protocols, and related logistics, resolving issues independently as circumstances arise.
• Manage official documents and correspondence, including the preparation, processing, handling, and distribution of official documents; coordination of outgoing correspondence; official letter processing through Munseo24; administration and appropriate use of the university's official seals; and maintenance of confidential and institutional records in accordance with university policies and records management practices.
• Process procurement card (P-Card) transactions, purchase orders, employee reimbursements, invoices, and other financial documentation in accordance with university policies and procedures.
• Manage office purchasing, payment processing, inventory, and supply requests while monitoring expenditures and maintaining efficient inventory control.
• Administer Executive Office gift and hospitality procedures, including purchasing, inventory management, recordkeeping, and compliance with university policies.
• Maintain university assets assigned to the Executive Office, including official seals, office keys, university vehicles, and other institutional property.
• Coordinate university transportation and vehicle scheduling in support of official university business and VIP visits.
• Provide transportation support as needed, including operating university vehicles to transport the Campus Dean to meetings, official university engagements, and other university-related activities.
• Oversee incoming and outgoing university mail and courier services, including mail distribution and coordination of related office logistics.
• Coordinate office-related services and logistics, including phone billing and other administrative needs.
• Maintain a clean, organized, professional, and welcoming Executive Office environment.
• Maintain organized filing systems for confidential and institutional records.
• Support university-wide initiatives, special projects, and cross-functional activities in collaboration with other administrative and academic departments, as needed.
• Perform other duties and responsibilities as assigned.
Minimum Qualifications:
• Bachelor's degree or an equivalent combination of education and relevant experience.
• Minimum of two (2) three plus(3+) years of progressively responsible administrative experience, preferably in higher education or a professional office environment.
• Valid driver's license with a clean driving record and ability to operate a university vehicle (e.g., Kia Carnival).

• Excellent written and verbal communication skills in both English and Korean.

• Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint; Microsoft Teams; and other administrative software and systems.
