About this role

Job summary

Part time - 22.5 Hours per week

12 Month fixed term contract

The Cardiac Service Administrator provides comprehensive administrative support to the Heart Failure and Cardiac Rehabilitation team. The post holder will play a key role in ensuring the efficient day-to-day operation of the service by coordinating appointments, managing referrals, maintaining patient records, supporting clinical staff, and communicating effectively with patients, carers, and healthcare professionals.

The role requires excellent organisational, communication, and IT skills, with the ability to manage a varied workload while maintaining accuracy and confidentiality. The post holder will contribute to delivering a high-quality, patient-centred service and support service improvement initiatives.

Main duties of the job

Provide comprehensive administrative support to the Heart Failure and Cardiac Rehabilitation team.

Receive, process, and respond to referrals, correspondence, enquiries, and messages in a timely and confidential manner.

Book, amend, and cancel patient appointments via telephone, letter, and electronic systems.

Maintain accurate patient records and update information on Trust systems, including SystmOne.

Produce routine and non-routine correspondence, letters, emails, using Microsoft Office applications.

Manage team diaries and coordinate meetings, appointments, and training events.

Support effective communication between patients, carers, clinicians, and external healthcare organisations.

Support service improvement initiatives and contribute to data quality requirements, including National Audit of Cardiac Rehabilitation (NACR) data collection.

Produce and distribute patient information, training materials, and service documentation as required.

Ensure compliance with Trust policies, Information Governance requirements, confidentiality standards, and data protection legislation.

Prioritise workload effectively, working independently while recognising when issues require escalation to senior staff.

Participate in appraisal, mandatory training, and continuing professional development activities.

Maintain a safe working environment and adhere to Trust health, safety, safeguarding, and risk management procedures.

Knowledge Desirable

Qualifications Essential

RSA II typing or equivalent experience Word Processing/IT Qualification or equivalent experience Evidence of ongoing professional development
