We are seeking an organised, proactive, and highly motivated individual to join our Anaesthetic & Critical Care Department as a Rota Coordinator.

This is an exciting opportunity to play a key role in supporting safe staffing and service delivery within a busy, forward-thinking, and ACSA-accredited department committed to high standards of patient care, governance, and training.

The Department comprises 33 Consultants and 12 Associate Specialist/Specialty Doctors

Main duties of the job

Coordinate and manage Anaesthetics and ICU medical rotas, ensuring compliance with Working Time Regulations and Trust policies. Monitor rota gaps, arrange appropriate cover including locums, and update rotas for leave, sickness, and service changes. Support junior doctor induction and act as a key contact for rota queries. Maintain staffing systems, produce reports, liaise with clinical and HR teams, and support service improvement and workforce planning.

Job description Job responsibilities

Rota ManagementDevelop, maintain, and publish medical staffing rotas for Anaesthetics and ICU in line with agreed job plans and service requirements. Work closely with the Clinical Lead and College Tutors to ensure accurate resident doctor rostering, appropriate educational opportunities, and compliance with training requirements. Ensure rotas comply with Working Time Regulations and Trust policies while monitoring rota gaps and escalating concerns to senior management when required. Coordinate annual, study, and professional leave alongside on-call commitments. Update rotas promptly to reflect sickness, shift swaps, emergency leave, and other changes, ensuring rotas are published within agreed timescales. Respond to short-notice requests for anaesthetic cover, communicate anaesthetic alerts clearly to clinical teams, and coordinate rotas to support additional consultant-led activity such as weekend lists and clinics. Arrange appropriate cover and update systems to maintain safe staffing levels.

Junior Doctors Induction & OnboardingCoordinate and support the induction of doctors rotating into the department. Ensure rotas, on-call schedules, and key departmental information are provided prior to start dates and act as a main point of contact to support a smooth transition.

Locum & Temporary StaffingArrange suitable locum cover for rota gaps in line with Trust procedures. Liaise with internal staff, the locum team, and external agencies, ensuring bookings are authorised, accurately recorded, and cost-effective.

Administration & CommunicationMaintain rota systems, produce staffing reports, monitor compliance with working hours, and manage confidential staff records in line with GDPR. Act as the first point of contact for rota queries, liaising with consultants, junior doctors, HR, and Medical Staffing while communicating rota changes clearly and promptly. Support service improvement and workforce planning initiatives.

Person Specification

Qualifications Essential

GCSEs (or equivalent) including English and Maths (Grade C/4 or above) NVQ Level 3 in Business Administration or equivalent experience

Knowledge Essential

Computer literate including ability to use Microsoft packages such as Excel Knowledge of medical staffing terms and junior doctor contract requirement Understanding of Working Time Regulations Understanding of confidentiality and GDPR

Experience Essential

Experience of rota coordination or workforce administration Experience working in a healthcare or NHS setting Experience using electronic rostering systems Excellent communication skills - written and verbal Excellent interpersonal skills, with the ability to work across the organisation liaising with different levels of personnel Experience in Anaesthetics, ICU or acute services Experience arranging locum cover
