About this role

The Bensalem Township School District is hiring a part-time secretary at the VMC. The Part-Time Secretary will provide support for the Facilities and Transportation Departments to ensure efficient daily operations. POSITION TITLE: Part-Time Secretary-Rentals/VMC CLASSIFICATION: Secretary, Part Time; Pay Grade- A REPORTS TO: Manager of Building Operations and Transportation Coordinator POSITION GOAL: Provide administrative, clerical, and customer service support for the Facilities and Transportation Departments to ensure efficient daily operations, accurate recordkeeping, effective communication, and successful facility rentals and transportation services. • Strong organizational, communication, and customer service skills.

• Ability to work effectively with students, staff, parents, community members, and outside agencies

• Proficiency in office technology, district software, and data management systems.

• Ability to manage multiple priorities, maintain accurate records, and work independently.

• Ability to maintain confidentiality and exercise sound judgment.

SPECIFIC QUALIFICATIONS:

• High school diploma or equivalent required.

• Customer service or administrative support experience preferred.

• Successful completion of required pre-employment screenings and testing.

• Proficiency in district software and willingness to learn department-specific systems.

• Dependable, detail-oriented, and able to manage multiple tasks in a fast-paced environment.

• Exemplary attendance record desired.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Answer direct telephone calls, radio communications, and inquiries from parents, staff, drivers, renters, and the public.

• Administer facility rental requests in accordance with Board Policy and district procedures, maintain appropriate records (i.e. current proof of insurance, hold harmless, etc.)

• Prepare rental quotes, invoices, collect payments, and maintain accurate financial records in accordance with school board policy.

• Ensure renters comply with district requirements, including applications, insurance, agreements, and applicable fees.

• Coordinate facility rental schedules with administrators, custodians, security personnel, HVAC technicians, and audiovisual staff.

• Maintain facility calendars and records using district software systems.

• Utilize software programs including Athena, RouteFinder, Sapphire, Zonar, FMX, and other district applications.

• Prepare correspondence, reports, spreadsheets, copies, scans, and confidential document disposal as directed by supervisor.

• Maintain organized departmental files and records.

• Perform other duties as assigned.
